​​​​​We are currently searching for a highly organized and self-motivated Advice Officer to join our Secretariat (organization headquarters) located in Copenhagen, Denmark.

The Advice Officer will join the Advisory Department but will also work cross-departmentally within the Secretariat, in particular with the Science department. This is a diverse role and requires working with and supporting highly skilled professionals both from the Secretariat and our wider community to fulfil the requests for scientific advisory services provided by ICES. The role requires a positive attitude and the ability to maintain a good overview of various duties, as well as to prioritise tasks and work to tight deadlines in collaboration with your Line Manager and the team. You will be working with Secretariat colleagues and senior ICES leadership to support ICES Advisory Plan of delivering evidence-based scientific advice to meet conservation, management, and sustainability goals for the North Atlantic in a manner that is credible, relevant, and legitimate.

​We offer a job in the heart of Copenhagen where you will collaborate closely with leading scientists in the marine science field and gain insight into the operations of an intergovernmental organization. Our Secretariat staff is made up of approximately 75 people who represent 26 nationalities, and our meeting facilities are regularly used by visiting experts from our 20 member countries and beyond. Your immediate team of 18 consists of skilled and committed colleagues who have a wide range of backgrounds (e.g., marine science, administration, project management) and there is plenty of opportunity for lively discussion, involvement, and competency development.

​​Responsibilities

We seek a service-minded colleague to:

  • Act as key contact to the international ICES network of experts (expert groups, steering groups, and committees) and support advice-related tasks across departments and teams, with a focus on
    • report editing and formatting
    • support of expert group meetings including planning and communication
    • data-entry and quality control
  • Assist Professional Officers and other Secretariat team members with tasks, primarily drafting reports and documents and supporting meeting organization
  • Engage in the development of internal structures facilitating documentation, communication, and archiving of information relevant to the advisory work
  • Carry out other relevant ad hoc administration and coordination support, as directed by the Head of the Advice Department

Qualifications, experience, and personality

To be successful in this role, you should have:

  • Strong administrative and organizational skills
  • Strong interpersonal and relationship-management skills
  • An ability to maintain a good overview of tasks to plan work, but adjust flexibly, to a busy schedule
  • Extensive experience with editing and formatting text with an eye for detail
  • Excellent knowledge of the Microsoft Office suite of applications, specifically Word
  • Fluency in written and oral English

  • Familiarity with research networks

​Terms of appointment

The appointment will be full-time (38 hours per week, including lunch), for a four-year contract period starting in February 2024 or as soon as possible, with the possibility of an extension.

ICES Secretariat staff enjoy privileges and immunities according to the Host Agreement between the Government of Denmark and ICES. The salaries of ICES staff are exempt from Danish income tax and are based on, but not identical to, the United Nations common salary system. The salary for this role is situated at the “C4” grade. A tax-free pension scheme is available, to which both the employee and ICES contribute.

ICES offers flexible working hours as well as home office equipment.
