University Communications and Marketing at Carnegie Mellon University is searching for an Ambassador Coordinator to work through September 2024! The division of University Communications and Marketing enhances the institution’s global reputation and inspires audiences to choose Carnegie Mellon University. Your core responsibilities will include:
- Lead all aspects of the Tartan Ambassador program that consists of 70 – 100+ current CMU students from various academic units across campus. The Tartan Ambassadors are a select group of students, chosen to represent CMU by sharing the university brand and their student story to key campus visitors, and audiences, like prospective students, through a variety of mediums both in-person and virtually including campus tours, events and special projects.
- Focus will be given to the ongoing successful recruitment, selection, hiring, training, support, and supervision of all levels of the ambassador team.
- Coordinate and attend weekly meetings for all ambassador staff, in addition to leading meetings with the ambassador student leadership team on a regular basis. Plan and run end of semester celebrations for the program to celebrate success and continually improve retention of the program.
- Evaluate the ambassadors on tours, shifts, and during events while elevating professional development and continual learning for the program.
- Oversee the ambassador scheduling and payroll to ensure the tours, events, programs, and Welcome Center are adequately staffed to run successfully while operational.
- Communicate with the ambassador group on a daily basis through in-person conversations, slack (instant messaging), emails, zoom, etc.
- Provide a warm, welcoming, and inviting CMU environment to all visitors, CMU community and public walk-ins. Share CMU stories and information; proactively greet each person, answer questions and provide wayfinding as needed. Provide coverage of the Welcome Center reception desk, which includes familiarizing self with the space, materials and exhibits, performing basic clerical tasks, greeting and checking in visitors.
- Be on call as the primary backup to cover the Welcome Center desk as needed.
- Work collaboratively with the Visitor Experience professional staff team consisting of the Associate Director, Welcome Center Manager, and Welcome Center Coordinator to continually enhance the visitor experience program for CMU, including assistance with visitor and event data collection and ongoing CMU brand training to continually learn and refine key messages and points of pride about CMU.

- Ability to take direction and work independently with strong attention to detail while handling multiple demands in a fast-paced environment.
- Proficiency in general office technology and databases (i.e. Google suite, Slack, Registration system, Monday.com, Box, calendar)
- Excellent oral, written communications, organizational, problem-solving and reasoning skills.
- Ability to work cooperatively and professionally with staff, students and faculty from all levels of the university.
Qualifications:
- Minimum one year of customer service, admission, student affairs or administrative management experience required.
- Required Bachelor’s degree or equivalent in marketing, communications, hospitality management, business, higher education administration or other related field preferred.
- Experience in higher education and working with students is highly desired.
Requirements:
- Successful background check including, PA Act 153 background clearance required.
- Ability to lift deliveries and packages up to 25 pounds on a regular basis.
- Means of transportation to and from campus required with the ability to travel on- and off- campus locations as needed; early occasional morning or evening hours may be required.
- Ability to stand for extended periods of time when greeting visitors of the university
Additional Information:
- Hours: This position has core operating hours of 8:30 am – 5:00pm Monday through Friday with some evenings and weekends required. At the start of the term it will be fully in-person, in time with the potential for flexibility for remote work on Wednesdays.
- Fixed Term: This is a term position, to start ASAP through September 30, 2024.
