We are currently seeking an entry-level Lead for Digitization to join the ITSAR team. In this role, you will oversee the scanning and digitization processes, ensuring the accurate and efficient conversion of our valuable resources into accessible digital formats. This is a 3-year term position with the possibility of renewal, and it is located at the WBG Records Center and Preservation Facility in western Pennsylvania. Information Governance and Archives (ITSAR) Context

ITSAR plays a crucial role in preserving the institutional memory of the World Bank Group (WBG). We are dedicated to transforming information governance throughout the entire lifecycle of information, promoting transparency and accountability, and showcasing the rich history of the World Bank to support effective and responsible operations.

Our responsibilities include managing records policies—covering advisory services, policy compliance, outreach and training, appraisal and retention schedules, and system requirements. We provide comprehensive records management support to World Bank institutions and staff, operate off-site records center services, and implement the World Bank’s Policy on Access to Information (ATI). Additionally, we create knowledge products and discovery tools to highlight the World Bank’s history and archival holdings, while ensuring the preservation and intellectual control necessary for continued access to these valuable records.

Duties and Accountabilities

In collaboration with the Digitization & Discovery and Records Center Program Leads, the successful candidate will lead a team of digitization contractors responsible for the following:

•Scanning unique and potentially fragile archival records including paper, books, photographs, oversized maps, etc. using flatbed and large-format scanner.

•Conducting quality assurance checks on scanned images to detect any irregularities.

•Assessing the condition of archival materials both before and after scanning.

•Editing digitized content, including cropping and image rotation, using Adobe Acrobat Pro or other relevant software programs.

Specific duties:

•Overseeing, instructing, and training digitization contractors on tasks related to the digitization process.

•Creating new documentation and updating existing procedures in the Digitization Manual.

•Ensuring compliance with digitization policies and standards through regular monitoring.

•Troubleshooting and resolving issues within the digitization workflow.

•Collaborating with Digital Preservation and Archives Systems Lead to manage server storage space and requirements.

•Supporting the Digitization & Discovery and Access to Information Program Leads with administrative tasks related to declassified records in the digitization queue.

 

Selection Criteria

 

High school diploma with 7 years of experience or equivalent combination of education and experience or AA degree or a recognized certificate with a minimum of 2 years of relevant experience.

Required Skills and Abilities

•5 years of experience in digitizing diverse material types using a variety of digital scanning devices and technologies.

•Experience in best practices of handling fragile or rare archival documents, including safe digitization procedures to prevent damage and ensure the longevity of materials.

•Knowledge of software tools including Microsoft Suite of products (Word, Excel, etc.), Adobe Creative Suite (Adobe Acrobat, Photoshop, etc.), Adobe Experience Manager (AEM), and ScanAllPro. Ability to leverage these tools effectively in digitization workflows.

•Experience with Content Manager.

•Excellent communication skills, both written and oral.

•Proven ability to work independently with a strong sense of urgency and initiative, ensuring timely completion of projects and proactive resolution of issues.

•Meticulous attention to detail, with a commitment to accuracy and quality in all aspects of digitization work, including scanning, data entry, and metadata creation.

•Collaborative approach to problem solving, viewing conflicts as opportunities.

•Ability to successfully perform routine and repetitive tasks.

•Adaptability to changing priorities and task assignments.

•Accountability for meeting deadlines, taking ownership of responsibilities, and ensuring timely resolution of routine issues.

•Team-oriented mindset, actively seeking opportunities to collaborate within own department and display an open and helpful attitude toward others.

•Physical abilities:

o Capable of lifting and handling boxes weighing up to 35 pounds.

o Comfortable using ladders to access boxes and files.
