For our Advisory Services department and one of our teams, we are looking for a motivated and dynamic person who can work with a high degree of service-orientation and flexibility to join our organization as per June 2024 and until the end of 2024, as a replacement due to maternity leave.

 

In the function as the Assistant of the Advisory Services Department (40%) the person works closely together with the two departmental Directors and coordinates the work of the Advisory Services Department such as organizing meetings, assuring the department’s public relations and maintaining the departmental documentation. In the function of the assistant for the Learning and Innovation (LNI) team (30%) the person would support the team of 6 – 7 advisors and shall report to Head of this team. 

 

YOUR MAIN TASKS

  • Assisting the Directors Advisory Services as needed: Organization of the calendar, taking care of their correspondence and the preparation of meetings and presentations
  • Organization and coordination of events and meetings as well as responsibility to take minutes of the AS dept and the LNI team
  • Assisting the LNI Team through support in team coordination, editing, information search, correspondence, translation etc.
  • Responding to internal and external Advisory Services related questions and requests, general internal and external correspondence in English, German and French
  • Preparation, editing and translation of documents, presentations and publications, mainly from German to English and also French
  • Assuring internal and external communication related to the Advisory Services Department according to the communication concept (corporate newsletter, intranet, website)
  • Managing contracts with clients, partners, service providers and further administrative tasks
  • Coordinate with other departments on administrative matters and with the Assistants of the department teams.

 

YOUR QUALIFICATIONS

  • A commercial apprenticeship (eidg. KV) or similar education and experience in an administrative environment, preferably in a development cooperation organisation
  • Excellent English and German skills (one of them is your mother tongue) and good French skills are mandatory, any other languages (e.g. Portuguese or Spanish) are an additional asset
  • Intercultural competences and gender sensitivity are required
  • In addition, you have excellent knowledge of the MS Office products in particular for editing documents and presentations and you are capable to support other users in the application of the tools
  • You are highly service-oriented, used to work independently as well as in teams
  • You are able to organize your multi-tasking work in an efficient and effective manner, remain calm also in hectic situations, and you offer a high degree of flexibility and own initiative
  • Interest in the field of development cooperation
