JOB DESCRIPTION
The Adventist Development and Relief Agency (ADRA) India, is an independent humanitarian and development agency, engaging in sustainable development and disaster response programs for economically deprived and socially marginalized people in India. ADRA India is a part of the ADRA global network (www.adra.org), of humanitarian and development organization. Position: Finance & Admin Assistant
Reports to: Project Manager
Location: Shimla, Himachal Pradesh
Availability: Immediately
Major Job Responsibilities:
Policies and Procedures
- Ensure compliance with donor’s financial policies, procedures, and deadlines.
- Ensure all the policies comply to the Government of India rules and regulations.
Treasury
- Petty cash management.
- Project vendor & staff advances disbursements.
- Ensure project monthly fund requests.
Bills and vouchers
- Ensure all field staff bills are verified and are according to policies.
- Bills and vouchers are summarized.
- Collection and verification of bills from all the vendors.
- Monthly project bills summary for all the districts and partners.
- Ensure that all disbursements are properly documented and make sure that all the bills are paid on time.
- Prepare sun plus upload sheet into appropriate budget heads.
- Timely submission of monthly bills.
- Monthly partners financial monitoring
- Maintenance of Separate details of accounts for partners and districts.
- Verification of Vehicle /Taxi log.
Finance Management:
- Support project Manager in preparing project cash flow.
- Review and settle all the project payables and receivables.
- Support country office finance team on preparing project reconciliations.
- Prepare separate financial report for project partner.
- Support country office finance team in preparing for project audits.
Procurement:
- Verification and analysis of quotes and QCS.
- Verification of Purchase order and procurement agreement.
- Review project procurement matrix.
- Adopt and follow procurement controls.
- Verification of stock register for all the districts.
- Ensure receiving being obtained for all the project materials distribution.
- Ensure that proper procurement and logistics systems are followed.
H R support:
- Ensure to organize and collect all the staff time sheets.
- Verification of time sheets.
- Maintain HR folders for all the staff in project office.
Asset Management:
- Ensure to maintain list of project assets.
- Ensure unique code being maintained for each asset for identification.
Perform other duties as assigned by the supervisor and country office.
Collaborates with: Project Manager, Programs Manager, Country Office Finance Department and Country Office HR Department.
TRAVEL
Some time travel is required to project areas.

Qualification & Skills Required:
- B.Com or M.Com and allied subjects, or master’s in business administration.
- Preferably 3-5 years’ relevant experience.
- Fluency in the English and local language, with demonstrated written skills.
- Strong organizational skills
- Excellent writing skills and an ability to communicate clearly and respectfully, superior time management and organizational skills.
- Should be a team player and worked in a competitive and professional environment
- Willing and able to travel throughout the project areas.
- Honesty in all undertakings with behaviour congruent with ADRA principles and moral standards.
