American Conservation Experience (ACE) is a dynamic non-profit organization dedicated to providing rewarding service opportunities to over 1,500 members (youth and young adults) each year, and does so with a skilled staff of approximately 150 employees across the U.S. ACE has a national reputation for providing professional development opportunities on a variety of conservation projects for the U.S. Forest Service, Bureau of Land Management, National Park Service, U.S. Fish and Wildlife Service, and numerous state and local land management partners, either with crew based work or with individually placed interns.

Job Title: Assistant Director, Finance 

Location: ACE Office or Remote Options Available (ACE offices)

Reports To: Senior Director of Finance and Compliance (SDFC)

Status: Regular Full-Time, Salaried (Exempt)

Schedule/Hours: ​​Full-time, 40 hours/weeks with additional hours as needed. Typical work hours of 8:30am-5:00pm (Monday – Friday) local time with some adjustment expected to accommodate specific projects and program needs. Some evening and weekend hours may be occasionally required.

Travel: Less than 10%

Position Summary:

Reporting to the Senior Director of Finance and Compliance (SDFC), the Assistant Director, Finance is a hands-on accounting and finance leader who thrives on challenges and is not afraid to roll up sleeves and get into the details of the financials. The Assistant Director, Finance assists with leading day-to-day accounting and finance operations of a $41+ million budget and supervises a team of three staff members, including functional responsibility over accounting, accounts payable, accounts receivable, billing & invoicing, and payroll. 

Essential Duties and Responsibilities:

  • Oversees all accounts, ledgers, and reporting systems to ensure compliance with GAAP (Generally Accepted Accounting Principles) and any other applicable local, state, or federal regulatory requirements across the organization and within program operations
  • Manage day-to-day operations assigned including, but not limited to AP/AR, GL, Month End closing, Payroll, Grants, Contracts, and Agreements
  • Manage the activities of General Ledger (GL) Accounts, including regular and allocation journal entries
  • Assist with cash flow management, invoicing, advance draws & reconciliation, and deferred revenue
  • Perform and/or oversee monthly reconciliation of all Balance Sheet Accounts, including but not limited to banking, fixed assets, prepaid, deferrals and accruals
  • Review and monitor fixed assets, depreciation, and all facility capital projects and ensuring all are reconciled monthly
  • Create and ensure accuracy of monthly journal entries, GL, and financial statements
  • Manage preparation of quarterly financial statements, including necessary monthly reconciliations
  • Creates and ensures accuracy of quarterly financial reports including statements of activities (income statement) with budget to actual performance quarterly and YTD, statement of financial position (balance sheet), program reviews and designated funds utilization and balances
  • Prepares reports for external financial reporting requirements as needed
  • Perform a thorough and timely review of all financials and perform special analyses as needed
  • Assist in the annual budgeting and planning process, along with updating the Crew and EPIC budget calculators
  • Monitor financial compliance requirements of all federal and state contracts, and assist with contract budgeting, invoicing, and reporting
  • Supervise, support and train accounting and finance team members to ensure the accurate and timely payment of invoices, maintenance of vendor contracts, and proper expense coding for monthly financial statements
  • Coordinate and assist the SDFC with various audits, including financial, single audit (A-133), worker’s compensation, and audits related to 403(b) plans.
  • Contribute to budgeting processes, including workforce and resource cost projections
  • Responsible for entering and updating budget(s) in NetSuite
  • Assist SDFC with maintaining/updating Chart of Accounts (COA) in NetSuite
  • Remains up to date on nonprofit financial and audit policies and reporting requirements
  • Directly supervise, lead and coach three direct reports
  • Other duties as assigned by SDFC

Required Experience and Qualifications

  • Bachelor’s Degree or equivalent in accounting, business administration, finance or related discipline OR any combination of education, training, and experience which demonstrates the ability to perform the duties of the position at the discretion of the SDFC and/or President/COO. CPA/CMA preferred, but not required.
  • Minimum of five years experience in accounting required; nonprofit accounting management experience preferred.
  • Minimum of two years’ experience managing accounting/finance staff preferred.
  • Experience leading and managing remote teams and staff.
  • Must possess high initiative and be detail oriented and have the ability to prepare and maintain records and reports 
  • Strong computer systems skills, including proficiency in business and accounting computer systems, and advanced Excel skills with the ability to analyze large amounts of data; Experience with NetSuite, Expensify, and Paycor software is preferred.
  • Ability to understand and carry out oral and written instructions
  • The ability to carry out assigned work independently or with minimal supervision along with excellent time management skills with a proven ability to meet deadlines
  • Ability to interact effectively as a team member and independently with ACE staff
  • Ability to work across departments and collaborate effectively towards a common goal
  • Ability to understand and follow ACE systems and processes including supervisor key responsibilities

Physical Demands, Work Environment and Working Conditions

  • Physical Demands: Requires frequent sitting, standing, walking, using hands to handle or feel, reaching with hands and arms, talks and hears. Manual dexterity required for use of computer keyboard/mouse and other office equipment. Required to stoop, kneel, climb stairs, and/or crouch. 
  • Vision Requirements: Requires close, distance, peripheral and depth perception vision as well as the ability to focus.
  • Weight Lifted or Force Exerted: Frequently moves up to 10 lbs., occasionally moves up to 25 pounds.
  • Environmental: Mainly indoor, office environment conditions; indoor air quality is good and temperature is controlled.
  • Noise Environment: Moderate noise such as in a business office with equipment and light traffic. 
  • Travel: This position may require domestic travel. 

Compensation: Starting annualized salary range of $75,000-$85,000 (40 hours/week for 52-weeks), depending on experience.

Holidays, Vacation, and Sick Time: As an ACE staff member, you will be eligible to accrue up to 80 hours of paid vacation time annually during your first two years of continuous employment, then it increases to 120 hours annually. ACE observes 13 paid annual holidays (floating holiday flexibility). ACE provides 10 days (or 80 hours) of paid sick time annually.
