The Association of German Cities/Association of Cities of North Rhine-Westphalia is looking for an Assistant (m/f/d) starting 1 August 2024 for its European Office in Brussels. The position is to be filled with regular weekly working hours (full-time) but is in principle also suitable for part-time employees. The main working language within the European Office in Brussels is German.

What are your main tasks?

This responsible and interesting job essentially comprises:

  • the coordination, arrangement, organization, preparation and follow-up of appointments, (committee) meetings and events;
  • communication in the European Office (e-mails, letters and telephone);
  • acting as a contact person for visitors (groups), interns and trainee attorneys;
  • information management (filing and resubmission, registry);
  • office management (administration/ordering of office supplies, obtaining and comparing offers, pre-checking invoices, liaising with other associations);
  • editorial assistance for our newsletter Europanews;
  • acting as contact person for the European Gender Equality Charter;
  • supporting interdepartmental coordination, in particular to support the delegates in the Committee of the Regions;
  • the completion of general assistance tasks (travel planning, diary management).

Flexibility with regard to the assigned and future tasks is expected. A change in the focus of activities cannot be ruled out and is therefore reserved.

What is important to us?

For the advertised position we are looking for a committed and convincing personality with:

  • completed vocational training, ideally as an office management assistant or office communication specialist or comparable training;
  • perfect command of German, French and English;
  • very good IT skills, especially with the common MS Office products (Word, Excel, Outlook, PowerPoint), the Internet and office organization applications;
  • adept and eloquent oral and written expression and very good spelling skills;
  • experience in coordinating activities, knowledge of internal processes and familiarity in dealing with committees, associations and institutions;
  • basic knowledge of the political system of the European Union;
  • excellent communication and teamwork skills and friendly manners;
  • high service-orientation;
  • independent way of working;
  • enjoying the further development of assistance work by utilising new digital possibilities, e.g. experience in the use of software for video and web conferencing as well as electronic file management;
  • a high degree of initiative, flexibility, persuasiveness, resilience, loyalty, discretion and commitment.

  • An employment contract in accordance with Belgian law, in which an appropriate salary can be set, depending on your qualifications and professional career, up to a maximum of EG 9 b TVöD (VKA);
