Gifts & Records at Boston University
The office of Gifts & Records optimizes and maintains data integrity for the biographical records of its constituencies (over 3.5M records) and manages the recording of gifts (an average of 60,000 transactions a year) for the Office of Development and Alumni Relations (DAR).
Reporting to the Director of Gifts & Records, the Associate Director of Gifts & Records will maintain the data integrity program in the Development & Alumni Relations CRM through continuous coaching, training, and development of staff (in particular the Gifts & Records team), enforcement of policies and procedures, and review of data outputs and integrity reports. The system maintains constituent records for all alumni, parents, students, employees and donors, as well as the complete giving history for these constituents. This position will manage the team responsible for constituent data loads and the integrity of all biographical and gift data in the system. They will also oversee the integrity of all data added to the system by Gifts & Records, including giving history, designation records and financial information imported from other departments. This person is responsible foridentifying new and managing existing automated routines to maintain data integrity in the system. The Associate Director will also work in collaboration with team members on the accurate and timely processing of gifts received by the University, as well as ensuring that gifts are recording in the CRM with deposits in coordination with the Cashier’s Office and General Accounting.
This person will be responsible for creating and maintaining standard operating procedures for all gift and biographical updates made by staff within the Gifts and Records office and assist with creating procedures for other departments within the Development office. They will also stay current with regulatory and industry practices to update Gifts & Records procedures accordingly.
Responsibilities:

Manage and maintain Boston University’s data integrity program. This includes developing and implementing plans to update and maintain constituent records, adding and maintaining new segments of constituencies, improving and managing the lost alumni program as well as timely processing of regular day to day update activities. Evaluate data patterns, identify areas of improvement and recommend data clean-up projects to ensure data integrity in the system.

In collaboration with the Director of Gifts & Records, provide guidance on gift accounting and records management best practices to colleagues throughout DAR and ensure automated integration for gifts and records data is performed in a timely and accurate manner. Research and recommend course of action to ensure smooth implementation and integration of new systems.

Supervise 2 full time staff members. Assign and manage their daily tasks and long-term projects, and ensure they are completed accurately in a timely fashion. Collaborate with fellow managers to oversee delegation of work for G&R teams.

Develop and cultivate relationships with key leaders in various departments across campus to ensure comprehensive data exchange. Create partnerships with reliable third-party vendors to append new information like addresses, phones, emails, employment, and social media data.

Collaborate with Gifts & Records managers on the establishment of new funds, regular review of holding funds, and account reconciliation in coordination with various finance offices, as well as bi-annual production of pledge status reports and streamlining of the process.

Create, document, manage and implement standard operating procedures for entering and updating gift & biographical information in DAR systems. This includes the training and enforcing of these processes so staff are making updates accurately.

Bachelor’s degree

Eight years of relevant experience including three years of management experience
