The Associate, Humanitarian Assistance (HA) provides key support to HA in conducting daily business operations and meeting departmental goals and objectives. The Associate provides business development (BD), project management, and general administrative support to the Humanitarian Assistance unit, working closely with the BD team, technical team, and response team.
Responsibilities
Responsibility Area: Business Development Support
- Support Global Communities’ business pipeline development; business intelligence gathering and analyses; client engagement and diversification; and organization-wide orientation to development.
- Support efforts to gather information about potential donors or partners, research new funding opportunities and target prospects, analyze grant/funding application guidelines and summarize analysis for dissemination.
- Support Managers in pursuit of target bids in roles such as, but not limited to the following:
- Support desk reviews for country background information, sectoral best practices, competitor strengths and weaknesses, partners and staff identification, and other information needed for successful capture activities and proposal design.
- Draft, format, and edit capability statements, past performance references, resumes, staff bios, and other annexes as required for proposals and opportunity positioning efforts.
- Manage proposal-specific procurements and consultant agreements under the direction of the Program Development Manager.
- Develop and update proposal cost centers under the direction of the Proposal Manager.
- Provide administrative support for proposal design, and review sessions, and proposal preparation, compilation, formatting, and submission.
Responsibility Area: General Administrative Support for HA
- Support recruitment through scanning CVs.
- Conduct administrative tasks by coordinating meeting logistics (scheduling and notetaking), preparing meeting materials, and other tasks as assigned.
- Provide logistical support to headquarters and field staff by making travel arrangements, processing invoices for staff, vendors, and consultants; processing expense reports; and managing/maintaining SharePoint document libraries.
- Support consultant agreements for the HA team as needed.
- Support the development, request, and tracking of program and general cost centers, as needed.
- Support development, editing, and formatting of internal and external reports, orientation and training materials, and communications materials for the HA department as needed.
- Undertake all other duties and projects as may be assigned from time to time.
Responsibility Area: Project Management Support
- Track deadlines for and ensure timely submission of project deliverables.
- Ensure timely responses to donor/partner organizations.
- Lead data entry and general maintenance of the budget management system for assigned projects, working closely with the Program Manager on project projections, annual budgets, and financial adjustments.
- Develop and generate reports in NetSuite and support the preparation of financial analysis such as budget vs. actuals and other variance reports.
- Support award management for assigned projects, including coordinating award reviews with the Office of Grants and Contracts.
- Work closely with OGC on any procurements undertaken under assigned projects.
- Support adherence to GC minimum standards and compliance with donor standards.
- Ensure proper filing and organization of documents according to organizational standards and maintain up-to-date filing system ensuring safekeeping and accessibility of project and administrative documents.
- Capture lessons learned and best practices and support with success stories and other communication materials.
- Develop and update program templates and tools for program support, in coordination with other teams and departments.
POSITION SPECIAL RESPONSIBILITIES:

- High proficiency in Windows Suite tools including Word, Outlook, PowerPoint, Excel, and SharePoint.
- Experience with Salesforce preferred.
- Fluency in English, written and oral. Abilities in another language preferred.
Qualifications
- Undergraduate degree in a related field or a minimum of four years of related work experience.
- Experience conducting research and composing clear, structured findings analysis and summaries, and articulate, persuasive language for presentations.

Location and Work Schedule
This selected candidate can be based in Silver Spring, MD. Candidates must be authorized to work in the US without any restriction. This role is on a hybrid/telework schedule. The selected candidate is expected to work at least twice as week (Tuesday, Wednesday, or Thursday) from either our San Diego or Silver Spring office and the remainder of the week from an approved remote location.
Salary and Compensation
The estimated salary for this position is between $52,222 – 71,805. Final salary will be based on several factors including qualifications, geographic location, experience, and internal equity. Global Communities provides a comprehensive benefits package; please note that this position is not eligible for allowances.
