Job Title: Associate Project Manager

This role is until January 14, 2025, there is the possibility of a long-term role should IBTCI be awarded the contract again. Please only apply if you are interested in an assignment until January 14, 2025.

Overview:

We are looking for an Associate Project Manager (APM) to work with the Global Health Technical Assistance and Mission Support (GH-TAMS) project team in Washington, DC. GH-TAMS is a five-year USAID-funded contract. GH-TAMS supports USAID operating units working on health-related activities by providing access to high-quality technical expertise and management support.

The APM is responsible for independently managing a baseline portfolio of GH-TAMS assignments and will work closely with Project Managers and Senior Project Managers to manage more complex assignments.
The APM will report to the Senior Project Manager and work with the Project Director, Deputy Directors, Senior Project Manager and Program Managers as designated to manage assignments and provide project level administrative support.

Responsibilities

Essential Duties/Tasks and Responsibilities:

  • Manage the assignment planning process, including refining scopes of work (SOWs) in consultation with Senior Project Manager and Deputy Director, developing cost estimates, and
    organizing implementation timelines, etc.
  • Assists with recruitment by drafting and posting ads online, monitoring recruitment applications, and following up with candidates.
  • Drafts and proposes consultant rates for approval by the Deputy Director – Operations and Finance or Project Director.
  • Responsible for all logistical support for consultants and GH-TAMS teams both in the United States and overseas. This includes drafting consulting agreements and country clearance travel
    requests, securing travel arrangements and visas for traveling consultants, and administrative and financial management support to consultants throughout their assignment (reviewing invoices, obtaining travel advances, securing transportation, etc.).
  • Maintains his/her portfolio project information, updating team trackers regularly.
  • Maintains regular communication with project employees, clients, and consultants to ensure that clients and consultants are supported throughout the course of their assignments.
  • Ensure necessary USAID approvals are obtained in a timely manner by preparing official letters and notifications to USAID clients other key stakeholders.
  • Implement administrative close-out of assignments.
  • Provides input for contract deliverables such as the Quarterly and Annual Reports.
  • Assists in editing and finalizing project reports as needed.
  • Assist in the training/orientation of project staff and consultants on operations, procedures, and tools.
  • Other programmatic and administrative support as requested.

Qualifications

Minimum Requirements:

  • At least two years of work experience managing USG-funded programs or projects.
  • Previous project management experience, preferably with donor or USG-funded projects in a US headquarters environment.
  • Well-organized and able to handle multiple tasks simultaneously.
  • Proactive in anticipating work requirements and problem solving.
  • Excellent skills in teamwork and interpersonal communication.
  • Strict attention to detail.
  • Superior organizational and time management skills.

Education:

  • Bachelor’s degree in international affairs, global health, business, or related field.

Preferred Knowledge, Skills and Abilities:

  • Master of Arts in related field or Master of Public Health preferred.
  • Knowledge of international development issues.
  • Foreign language proficiency in French and/or Spanish, or other desirable.

Working Environment: Work is typically performed in an office environment. Currently IBTCI is allowing for hybrid work in the District of Columbia, Maryland, and Virginia (DMV) area. This can be updated by the company.

Physical Requirements: This is largely a sedentary position that requires the ability to speak, hear, see, and lift small objects up to 20 lbs.

Supervisory Responsibility: This position does not have supervisory responsibilities.

Travel: Travel is not required.

Work Authorization: Candidate must be authorized to work in the U.S.A.; visa sponsorship is not available for this position.
