Details of employment

The Associate Project Manager will be based in Geneva, Switzerland. The IAS offers the possibility of working from the legal residence for up to 11 days per month for Swiss-based employees and up to eight days per month for French border-zone employees working full-time. The Associate Project Manager will report to the Project Manager, HIV Programmes and Advocacy, Person-Centred Care. The position is for a maximum duration of 14 months starting on 1 June 2024 and ending on 31 July 2025. The position is part-time at an 80% work pattern and all possible benefits including among others work-at-home days will be prorated accordingly.

Purpose of the position

The Person-Centred Care programme aims to advocate for a multidisciplinary, integrated and long-term focused approach to care for people living with and affected by HIV that is responsive to their evolving needs, priorities and preferences. The Person-Centred Care programme promotes stigma-free and quality models of care that respond to the diversity of people according to their age, gender, association with one or more key population group, HIV status and evolving health needs over time. The incumbent will be responsible for supporting the effective and efficient administration of the Person-Centred Care programme.

Main responsibilities

  • Supporting the day-to-day activities of the Person-Centred Care programme – administer contracts, process invoices and other agreements with sub-award recipients, consultants and partners, including tracking timelines, deliverables and expenditures; maintain up-to-date budget and expenses, for internal monitoring and planning and updating the internal budget system; track data on key performance indicators and achievements for internal and external reporting purposes; contributing to the development of funder reports and developing new grant proposals; schedule and support the preparation of agendas, presentation materials and minutes for routine check-ins with donors and other key partners.
  • Support the development of a journal supplement on person-centred care for HIV prevention – coordinating the abstract submission process and liaising with authors prior to the submission of the full manuscripts to the journal.
  • Coordinating and organizing meetings and events – inviting speakers, coordinating audio visual recordings and supporting the documentation of meetings; taking meeting notes, drafting communications and reports highlighting key points discussed and outcomes from meetings and events; providing travel and logistical support for staff, consultants and speakers for the AIDS 2024 and IAS 2025 conferences as well as two advocacy academies planned to take place in the United States and Africa which will bring together up to 25 fellows over three days to exchange, learn together and develop context–specific person-centred care advocacy agendas for implementation in their settings.

The incumbent will need to perform any additional tasks requested by the Project Manager, HIV Programmes and Advocacy, Person-Centred Care and the Director, HIV programmes and Advocacy.

Academic qualifications

  • A degree in public health, law, medicine, human rights, international relations, development or other relevant discipline.

Experience

  • At least 2-3 years of experience in a similar position working in HIV, human rights or public health
  • Demonstrated interest/experience in HIV and/or global public health is a plus
  • Experience managing grants, project implementation, reporting and/or research programmes is a strong advantage
  • Experience coordinating large meeting logistics, workshops or other meetings, including international travel and/or virtual meeting arrangements
  • Experience working with external partners, donors, service providers and/or consultants
  • Although not essential for this position, the IAS acknowledges the value of the experience of living with HIV and will consider this when evaluating applications.

Skills/competencies

  • Is a strong team player with aptitude for lateral thinking, developing and implementing new ideas
  • Displays good stakeholder management skills, sense of diplomacy, cross-cultural interpersonal and relationship management skills
  • Communicates effectively with and relates to people of different cultures, demonstrating an ability to see issues from other perspectives
  • Has excellent computer skills (word processing, presentations, data management, virtual meetings) and knowledge management skills
  • Knowledge of HIV and human rights including up to date knowledge of the latest relevant scientific research and programmatic practices, will be advantageous.
  • Ability to travel internationally in the future (potentially 1-3 business trips per year including a travel to Munich end of July 2024.).

Languages

  • Excellent written and oral English language communication skills, knowledge of other languages is an asset.
