BACKGROUND AND PURPOSE OF THE ASSIGNMENT:
The Aviation Assistant reports to the Operations Officer and is responsible for performing effective and efficient movement control tasks. He/she should familiarize with the TOR of the senior air movement assistant and operations in order to be able to take over his/her responsibilities during his/her absences.
KEY ACCOUNTABILITIES (not all-inclusive, nor exhaustive):
- Check-in passengers in accordance with requirements and instructions issued by WFP-AFO and the chartered carrier’s and ensure 100% matching of the ID (and passport as may be required), introduction letters against the passenger manifest.
- Support connecting passengers as necessary to ensure smooth coordination and improve turnaround time.
- Continuously coordinate with direct supervisor on all UNHAS operations with contractors including air operators and ground handling companies to ensure effective, efficient, and reliable delivery of service to UNHAS operations
- Ensure continuous communication with direct supervisor on any challenges faced while executing any given task.
- Handle baggage in the baggage sorting area, deliver baggage in accordance with the local procedures.
- Assist passengers requiring special attention.
- Inspect, weigh and tag checked and unchecked baggage.
- Effect the conveyance of checked baggage from the baggage check-in position to the aircraft and vice-versa.
- Head check of passengers upon embarkation (count to be compared with messenger manifest and general declaration).
- Sort and store inbound and outbound as well as transfer cargo prior to dispatch in accordance with the nature of goods and the routing of the cargo.
- Verify all documentation for cargo transport and pay particular attention to cargo shipment cross border lines.
- Understand the payload restrictions on all aircrafts and prepare loads accordingly.
- Reconcile all incoming cargo against documents. Verify quantities and state of the cargo on arrival and complete documentation on receipt.
- Notify consignee/agent of arrival in accordance with applicable instructions.
- Loading/Unloading of Aircraft
- coordinate receiving staff (porters, drivers) before arrival and after departure and general supervision of ramp handling activities.
- Report immediately to the ASFP/AMO/ATO/CATO, all occurrences and file an occurrence report where necessary.
- Monitor aircraft operations and performance, identify and report any likely hazard(s) and operational risk(s) which could affect the continued safe operations of aircraft.
- Provide assistance and guidance to passengers and flight crew on all flights originating from the field stations where UNHAS has no personnel.
- Coordinate with fuel service providers to ensure availability of fuel to serve UNHAS operations for both regular and ad-hoc planned flights.
- Ensure to maintain continual communication with passenger when flights are delayed or cancelled.
- Perform any other function as may be required by the supervisor.
QUALIFICATIONS AND EXPERIENCE:
Education:
Completion of secondary school education OR University degree (Diploma/Bachelor) in flight dispatch, aeronautical engineering, air traffic control, or other related fields.
Experience:
At least five (5) years of experience with a secondary school certificate OR University degree (Diploma/Bachelor’s) with a minimum of two (2) or more years of experience in aviation-related fields.
Language: Fluency (level C) in English language and Somali Language.
ARE YOU COMPETENT FOR THIS JOB? DO YOU HAVE:
- Experience in handling flight processes and knowledge of aviation operations in the field.
- Experience in dispatching flights from uncontrolled airfields and interpreting operational flight plans is required.
- Experience working in the aviation section of an international organization is desirable.
- Experience in Ground Operations, Ramp Safety, RFFS (Rescue and Fire Fighting Services), and Emergency Response is also desirable.
