Responsibilities

Serves the Association as its program manager facilitating
Alumni and Seminole Clubs administrative and fiscal needs. Assists
the Executive Director with the management and implementation of
the program’s operation and fiscal goals and objectives.

Serves as Department Financial Representative; Responsible for
managing association budgets, Maintains financial records of all
association funds. Reconciles budget accounts monthly, pays bills
and tracks payments, facilitates the disbursement process, manages
the p-card program and reimbursements for Association staff.

Oversees the Seminole Clubs financial processes and procedures;
Supervises updates to all financial sections of the Seminole Club
Handbook.  Oversees the process for filing Clubs tax returns
annually by required deadlines on behalf of the Seminole Clubs.
Maintains strong working relationships with FSU Foundation
accounting office and consultants on contact with the Alumni
Association for handling club financial matters as well as
representatives of the Internal Revenue Service.

Works directly with the Executive Director of Operations and
Administration to coordinate administrative matters for Alumni;
establishes policies and procedures to support the administrative
functions and to ensure compliance with applicable University
policies and procedures. Serves as the organizational contact for
internal and external departments including Payroll, Budgeting,
Parking Services, and FSU Foundation accounting. Maintains
confidential HR records related to salaries and specific HR issues.
Creates, evaluates, and administers the advertisement process for
graduate assistant and federal work-study students.

Processes all contractual services for the Alumni Association.
Manages the operations of all purchases.

Business recordkeeping and retention in accordance with
University policy. Supports internal onboarding processes, e.g.
business and internal HR processes, of new staff. Supervises front
desk support staff to include the facilitates coordinator and
Federal Work Study/OPS student assistants to ensure top level
customer service.

Working knowledge of Association database (CRM). Board committee
supported as directed by the Executive Director of Operations and
Administration. Manager must travel to attend meetings both on and
off campus. Other duties as required.

Qualifications

Bachelor’s degree and two years of experience; or a high school
diploma/equivalent and experience equal to six years. (Note:
post-high school education can substitute for experience at the
equivalent rate.)  

Valid FL or GA Driver’s License or the ability to obtain.
