Background and Purpose of the Assignment

The current five-year development portfolio of WFP Liberia includes social protection safety nets, such as home-grown school feeding, livelihood and capacity strengthening support through its Food Assistance projects, stimulating local food production and support the Government in enhancing the efficiency of food value chains in Liberia. Including emergency preparedness and response.

 

WFP is leveraging school feeding with a solid HGSF component to deliver climate-smart livelihood support activities that provide smallholder farmers, particularly rural women, with reliable and sustainable markets. This includes strengthening vulnerable smallholder farmers’ resilience to climate-related and other recurrent shocks through the creation or regeneration of productive community assets.

 

 

WFP aims to strengthen food and nutrition security through school feeding, and social protection measures and assists in strengthening the national capacity of Liberia to own and implement hunger solutions.

To coordinate and control a full range of business support services for the front office and the office of the Country Director and ensure that services are delivered effectively.

What will you do in this position? 

  • Provide dedicated executive assistant support.

 

  • Prepare and/or consolidate comprehensive reports, documentation, correspondence, briefing notes, etc., and conduct research in work.

 

 

  • Receive, screen, and log correspondence, reports, etc., and forward to the appropriate Officer; maintain a log in the system and follow up to ensure that replies are timely or that action is taken within the established deadline.

 

  • Prepare briefing materials for the Country Director/ or Deputy Country Director for use on official trips or special meetings.

 

 

  • Screen, assess, and refer telephone calls and inquiries to appropriate staff; provide as well as sensitive information, coordinate and expedite office-wide responses to sensitive telephone and written inquiries on behalf of the manager.
  • Maintain the Country Director’s calendar schedule appointments and meetings and make tentative appointments on his/her behalf; brief the Country Director on matters to be considered before the scheduled meeting.

 

 

  • Prepare informal translation and may act as interpreter.

 

  • Take dictation and/or draft correspondence on a variety of subject matters ensuring that spelling, punctuation, and format are correct; type correspondence documents and reports, some of which are highly confidential; Actively seek and use feedback to improve business processes and procedures.

 

 

  •  Respond to complex business support queries to provide a timely and accurate solution of inquiries for clients.

 

  •  Oversee the maintenance of records and databases to ensure information is organized and readily available for staff and compliant with all relevant regulations and policies.

 

 

  •  Revise and review correspondence and documentation, providing feedback and making amendments where appropriate, to contribute to the production of these materials.

 

  •  Provide procedural advice to professionals and train new general services staff on the office-on-office methods and procedures, and on the use of various computer programs to improve the quality and efficiency of their work.

 

  • Maintain policy, confidential and general management files.

 

  • Perform other related duties as required

Education:

Completion of secondary school education. A post-secondary certificate in the related functional area.

 

Experience & Knowledge:

  • Six or more years of progressively responsible work experience in the relative business stream with experience in general administrative work.
  • Specialized knowledge of the application of common business processes, practical business support methods, procedures, and systems used in work, gained through technical training and work experience. 
  • Good communication skills to provide specialized business support services to a wide range of individuals.
  • Ability to build relationships with a variety of individuals across functions.
  • Experience in coordinating the work of others and self and training and supporting others. 
  • Good organizational skills, ability to work systematically, communicate complex matters both orally and in writing, and use sou sound judgment.
  • Ability to work in a team environment to achieve common goals and to provide guidance to more junior support staff.
  • Ability to work effectively with people of different nationalities and cultures. • Ability to maintain confidentiality.

 

 

Language: Fluency (level C) in English language.
