About the CALS Office of Academic Programs

A unit of the CALS Office of Academic Programs, the Office of Student Services assists in managing and coordinating academic programs associated with CALS degree programs. As a CALS Office of Student Services team member, the CALS Registrar Support Assistant performs a wide range of responsibilities related to student services, including academic resources, event scheduling, study abroad support, advising, records, and advocacy to CALS students, including supporting the mission to create, maintain, and protect the academic records of current and former students.

The Opportunity

In a team and service-oriented environment, the CALS Registrar Support Assistant will provide professional support to the CALS Registrar Team and CALS Inclusive Academic Advising Team. Reporting directly to the Sr. Assistant Registrar, this role will also involve backing up the front desk at least one day per week. The successful candidate will oversee and support various administrative functions related to event scheduling, electronic forms processing, test credit management, and more, while maintaining the highest levels of confidentiality and adherence to university and college policies.

Key Responsibilities:

  • Manage event scheduling in 25Live!

  • Process and manage electronic forms

  • Oversee test credit and forbidden overlaps

  • Serve as the communication manager for the Registrar Team

  • Partner with the Assistant Registrar for Curriculum to manage special studies reporting and processing

  • Manage Study Abroad/International record management

  • Provide grading support and manage general petitions and minor management

  • Assist with the commencement program coordination

  • Maintain a clear understanding of university and college policies, FERPA guidelines, and compliance requirements

  • Utilize technology platforms such as Outlook, People Soft, and Salesforce for effective support

Additional Responsibilities:

  • Partner with the Assistant Director of Experiential Learning and Research Exploration to advise and assist with study abroad functions

  • Process and manage course approval forms for study abroad programs

  • Assist with transcript posting and answer general questions about abroad classes meeting college requirements

  • Provide support for other specified duties related to study abroad initiatives

This is a full-time (39 hours/week) Contract College position that is based in Ithaca, NY. This position follows a 4:1 campus-to-home hybrid work arrangement. This arrangement is subject to change at any time. Typical work hours are 8am-4:30pm Monday through Thursday and 8am-3:30pm on Fridays.   

What We Need

We are looking for a team member who is collaborative, has attention to detail, and is willing to learn and ask questions. Additionally, you will: 

  • Hold a Bachelor’s degree or equivalent; 2 years but less than 4 years of experience or equivalent combination of education and experience. Experience related to student information systems, reporting, and degree audit.

  • Have the aptitude to communicate with tact and diplomacy with a wide range of internal and external constituents.

  • Demonstrate commitment to supporting diversity, equity, access, inclusion, and well-being.

  • Handle highly sensitive and confidential information with utmost discretion and integrity, maintaining FERPA compliance.

  • Be familiar with systems and processes like Salesforce, Peoplesoft, and 25Live!

  • Be proficiency with Microsoft Office and Outlook applications and student record systems (e.g., PeopleSoft, Salesforce)

  • Be resourceful and receptive to new ideas and approaches.

  • Have a willingness to work non-standard hours very occasionally

  • This position is eligible for a hybrid work arrangement. Employees typically perform this role
    remotely 1 day per week and on-campus 4 days per week. The university reserves the right to modify, suspend, revoke or terminate the hybrid work arrangement at any time.

  • This position is based in Ithaca, New York. Employees who work remotely may receive
    multiple W-2 Forms depending on their work location. The New York Convenience of employer guidelines require New York State individual tax reporting and withholding for this position. Additional individual state income tax filings may also be required if working temporarily outside of New York State.
