DESCRIPTION

The Campus Events Manager is a seasoned and experienced event professional who provides comprehensive coordination and management oversight of moderately complex and / or small to medium-size events.

The Campus Events Manager serves as a member of the Campus Events Management Team and provides comprehensive event planning, coordination, and management support for event programming on the UC San Diego campus. This position is responsible for the interpretation and application of University policies, student programming advising, budget management, crew/volunteer scheduling, talent buying, and providing supervision/work direction to student event assistants. The position facilitates the smooth and safe operation of events, office operations management, and works cooperatively with staff, students, faculty and off-campus vendors and partners.

This position provides focused advising and event management support for the Associated Students Concerts & Events Office, which has an annual budget in excess of $1M to actively program a wide range of diverse events primarily for undergraduates throughout the academic year.

This position also supports campus event traditions, which range from intimate shows at The Loft venue (200 person capacity) to large-scale campus events including New Student Welcome Convocation, Horizon, and the Sun God Festival (20,000 capacity), amongst others. The Campus Events Manager will play a lead role in the planning and execution of the Triton Fest Event Series.

QUALIFICATIONS

  • Bachelors’ degree in related area and / or equivalent experience / training.

  • Thorough knowledge and understanding of concepts, principles and practices of event planning and public relations, including event design, organization and production.

  • Demonstrated organizational and project management skills to work successfully with clients to produce high quality events that meet client needs and appropriately represent the campus for fundraising events. Skills to provide excellent donor stewardship.

  • Highly developed judgment, decision-making and problem recognition / avoidance / resolution skills, including skill in determining those issues / problems that need to be brought to management’s attention.

  • Highly developed interpersonal communication skills including political acumen and social perceptiveness. Excellent verbal and written communication skills to effectively communicate with diverse populations with competing priorities.

  • Knowledge of crowd management, crowd safety protocols, security and emergency procedures related to small, medium and large-scale gatherings.

  • Experience maintaining a high standard of productivity within a broad scope of responsibility despite frequent interruptions. Ability to complete large volume of diverse tasks efficiently, meeting established deadlines.

  • Skill in effectively meeting budget and time constraints.

  • Proven ability to work on several tasks simultaneously. Skill at responding effectively to priorities and setting deadlines.

  • Knowledge and skill to set and monitor work standards and protocols.

  • Ability to effectively work with invited guests, donors, government officials and university VIPs.

  • Strong knowledge of computers including standard software, (Microsoft Office, Internet Browswers, Email, etc..) as well as specialized software programs (CAD. Theatrical Lighting, Audio Modeling, Database, etc.)

  • Ability to give clear directives and use independent, rational judgment to make optimal decisions.

  • Knowledge of principles and practices of volunteer recruitment, supervision, motivation and evaluation.

  • Demonstrated knowledge of theatrical staging, lighting, rigging, audio, and scenery equipment and their uses.

SPECIAL CONDITIONS

  • Variable hours, including evenings, weekends and some holidays to support campus events with all event management, technical, and production needs necessary for the successful completion of the events.

  • Outdoor work, including work in inclement weather and heat, may be required.

  • This position is particularly impacted during the months of September, October, April and May, due to the schedule of events.
