ORGANIZATIONAL SUMMARY:
The Compass Student Experience Office works to support students through their transition into the University of South Florida St. Petersburg campus, to ensure they develop and maintain personal and academic goals. The department brings together people, programs and resources to provide students with an exceptional experience on campus in order to create the foundation of their success, and anchor them at the university. The Compass Student Experience Office provides services that are integral to the recruitment, onboarding and retention of students, and the resolution of issues that jeopardize student success.
POSITION SUMMARY:
The Campus Tours and Event Manager is a professional services role which requires strong organizational and customer service skills, as well as a deep understanding of event management and the evolving landscape of campus visitation, including the increased importance of personalized experiences for prospective students and their families.   The primary function of this role is to support the Senior Director of Student Success in successfully coordinating the day-to-day operations and activities of the Campus Visitation experience at USF St. Petersburg, including the daily campus tours operations and large scale recruitment/yield events, as well as providing strategic planning and execution of those programs. This includes collaborating with various campus departments to enhance the overall experience and impact of campus visits.
RESPONSIBILITIES:
Lead the planning and execution of the day-to-day operations and activities of the Campus Visitation experience at USF St. Petersburg, including the operations of the daily campus tours and large scale recruitment/yield events, as well as providing strategic planning and execution of those programs. Create and maintain scheduling system for visits. Plan, coordinate and implement campus visits logistics which may include creating presentations, ensuring appropriate signage and lighting, facilitation, registration, transportation, development of budget, etc. Collaborate with key campus and community partners, such as Admissions and the Pinellas Access to Higher Education (PATHe) to deliver special events as necessary, including but not limited to, Open Houses, Scholars Brunch, Admitted Student’s Day, Extended Tours, etc. Stay current with local event regulations, trends, and ensure all safety requirements are met.
Oversee the recruitment, hiring, and supervision/mentorship of the Navigator Tour Guides to ensure campus tours and recruitment events are managed effectively to help reach enrollment goals for the university. This includes the preparation of all requisite forms and documents for hiring, as well as managing student schedules and accurate time-sheet records to submit for certification.
Oversee the development, execution and assessment of admitted student yield campaigns, including specific efforts to assist underrepresented and marginalized students during their transition to USF. Collaborate with campus and community partners to bring awareness of campus and community resources (e.g. Create and maintain a directory of multicultural services within the community) for underrepresented & marginalized students.
Develop and maintain strong relationships and ensure that tour and event details are communicated and executed successfully with campus partners as necessary. Greet visitors and provide exceptional service to prospective students and their families. Collaborate across oneUSF to ensure alignment with consistent campus experience to include script, talking points, presentation and brand. Collaborate with marketing and communications campus partners across oneUSF to promote, set deadlines and objectives as well as assess the effectiveness of tours and events through surveys and performance metrics.
Oversee the collection of quotes for event expenses and manage communication with vendors and suppliers as well as monitor and track budget for project expenses.
Performs other duties as assigned.
POSITION QUALIFICATIONS:
MINIMUM:
Bachelor’s degree and a minimum of five years of related experience or equivalent combination of educational experience.
PREFERRED:
Excellent problem solving skills and the ability to adapt and change quickly. Excellent prioritization skills and attention to detail. A proven track record in producing successful events designed to achieve enrollment goals. Exceptional customer service skills and a personable and polished demeanor. Strong leadership and public speaking skills. Experience using a variety of team tools, such as Teams, PowerPoint, Event Registration Systems, etc.
