Position Details

General Statement University Business Services (UBS) provides accounting and business services for all components of Montana State University (MSU). UBS works to ensure that MSU business transactions are conducted and reported efficiently, effectively, and in accordance with all applicable regulations, policies, and procedures.
Under the supervision of the Financial Manager, the person in this position is responsible for recording additions and disposals of capital assets. This position also facilitates the appropriate disposal of capital property, performs physical inventories, affixes property tags to new equipment and maintains the capital surplus property listing on the website. The person in this position will work in support of MSU Safety & Risk Management’s E-Waste Coordinator regarding e-waste disposal and recycling. This position assists in the maintenance of the property management tracking system and manual which is subject to regular State, Federal and internal audits.
Duties and Responsibilities
  • Maintain system for documenting and tracking records for all capital fixed assets.
  • Ensure accurate and compliant tracking and recording of capital assets in accordance with state, federal and university policies.
  • Serve as a resource to departments for inquiries regarding university property, inventory requirements or capital surplus property, providing service excellence.
  • Conduct periodic physical inventories in a variety of locations, inside and outside, across campus and remote agriculture experiment locations, of state titled, federally owned and USDA equipment; work with department to resolve discrepancies.
  • Work with departments to dispose of assets and coordinate periodic university surplus property events and public sales. Maintain physical storage space for surplus property, including shifting items for display.

Required Qualifications – Experience, Education, Knowledge & Skills
  • Capital asset management or general business experience which includes maintaining, processing and verifying detailed records with a high level of accuracy as well as identifying and correcting errors or an equivalent combination of education and experience.
  • Demonstrated experience using personal computers for performing detailed and accurate data entry as well as general business and web page software (Microsoft Office preferred).
  • Demonstrated experience providing a high level of customer service in a positive, professional and helpful manner to a diverse range of individuals.

  • Relevant knowledge of state and university business property management procedures, policies and regulations.
  • Relevant knowledge of federal property guidelines and documentation requirements.
  • Relevant knowledge of and experience with Assetworks AiM software.
  • Working knowledge of CMS software.
  • Working knowledge of accounting theory, policies and procedures regarding capitalizable costs, gains, losses and depreciation.

    Position Special Requirements/Additional Information Must possess currently or be eligible to obtain a valid State of Montana Driver’s license and have an acceptable driving record (less than 12 points).
