Supporting its undergraduate and PhD programs, the Faculty of Computing & Data Sciences (CDS) has a core group of faculty members and additional secondary and affiliated faculty members who are drawn from across the landscape of disciplines at BU. CDS is housed in the top five floors of an iconic zero-carbon, 19-story building with a convention-bending design and state of the art classrooms, labs, and collaboration spaces. The CDS Building Programs Manager is a new position primarily responsible for the day-to-day management and strategic planning of CDS space, including oversight of the main event space for the building. This role will also facilitate the intra-building coordination of space, working daily with colleagues from other academic units and central University services. They will serve as the primary point of contact for inquiries about building spaces for both CDS faculty and staff, as well as non-occupants looking for more information about reserving spaces within the building. They will maintain space assignments and space quality for CDS faculty, staff, and students. They will also initiate and lead programming that leverages space as a critical component of programmatic operations, such as the CDS Faculty Fellows program, faculty co-lab research spaces, and CDS student pavilion. This position reports to the CDS Director of Administration with an expectation of being a 5 day/week in-person position, with availability as needed on nights and weekends given the space management responsibilities. There is some flexibility for opportunistic remote work.
CDS Space Management
- Oversee and manage all CDS assigned spaces, including CDS 1750 event space. Lead and implement all space redesign and renovation requests, managing the submission processes, securing quotes and processing procurement requests for space related supplies, furniture, and improvements.
- Serve as space owner for CDS assigned spaces. Submit and review space reservation requests. Maintain room calendars, unlock schedules, and quality of shared collaboration spaces. Maintain space assignments in University database portal. Work with Associate Provost on annual space assignments, and lead respective faculty space committees/representatives within CDS charged with space utilization.
- Responsible for all physical space maintenance, ensuring CDS controlled spaces are well-kept and functioning. Work daily with colleagues in CPO Custodial Services, report issues to Area Manager and Building Systems Manager, and supervise student employees charged with daily maintenance assignments. Work with trades as appropriate for facilities service requests.
- Serve as primary point of contact and manager for CDS access and security related tasks, including overseeing physical keying for CDS spaces, managing all badge access for all personnel assigned access in CDS, maintain clearances, and create open/close events.
- Ensure the reliable functioning of all CDS AV systems, including those in shared conference spaces and proprietary classrooms. Be able to provide immediate on-site support to faculty and students using spaces, and work with service providers on regular systems maintenance and management.
Programmatic Space Planning
- Organize and support select programs and services within CDS specifically requiring and impacting space coordination and utilization.
- Work with faculty and instructional support staff to schedule semesterly office hour locations, tutoring center space, exam accommodations, and other related space needs within the building and across campus. Oversee management, utilization, and scheduling of 5th floor CDS Student Pavilion. Work with BU Spark! Community Manager to facilitate Ignite student group meeting locations.
- Manage space usage, assignments, and programming related to CDS Faculty Fellows, AI Hiring Initiative, and other CDS-led initiatives. This includes scheduling and promoting regular events among faculty within these programs, coordinating related researcher space assignments, processing space requests and general administrative support, directing faculty to appropriate resources.
Intra-building Leadership and Coordination
- Serve as the first point of contact and facilitator of reservation requests from other University offices regarding event planning within the Center for Computing & Data Sciences. This includes working closely and providing on-site space support as needed to high-profile events held by University leadership offices, such as Office of the President, Provost, Alumni & Development, Sustainability, and Governmental Affairs. Provide leadership, guidance, and coordination among internal service providers supporting events held in CDS event spaces. Follow up with space requestors to ensure all necessary event support requests have been submitted, including Internal Service Requests (ISRs) and Facility Service Requests (FSRs). Monitor FSR submissions for events and work with Custodial Services to follow up with requestors as needed. Provide support for building-wide conferences utilizing multiple spaces throughout the building, including unlock schedules. Facilitate usage of unassigned public spaces, such as 1st floor atrium, for special events as needed.
- Create and maintain an informational website regarding best practices and recommendations for event spaces within the Center for Computing & Data Sciences, providing design layout templates and educate about the building’s zero waste initiatives. Maintain inventory of event furniture, procuring additional furniture and facilitating repairs as needed. Advise on catering practices for the building.
- In partnership with BU Sustainability, supervise CCDS Student Tour Guides program and communicate zero waste protocols for the building. In collaboration with CDS Director of Communications, manage display screen content and ensure content is up-to-date and timely.
- Support colleagues in other CCDS departments by providing back-up temporary support for space management in case of positional vacancies, leaves, and training of new employees.
Lateral Crosscutting Functions
- Work collaboratively and independently with CDS teammates who oversee related administrative functions, or who have responsibilities that leverage, depend on, or otherwise connect with those managed by this role. This includes providing either leadership and/or support of lateral functions that cut across other program management roles in CDS.
- Examples include collaborative teamwork supporting events held by CDS, signage and collateral throughout the building welcoming students, and partners; supporting the development of collateral content for recruitment and on-boarding of faculty and student interns; supporting diversity & inclusion initiatives; supporting industry partnership events; supporting development and alumni relations activities; supporting career development events; supporting space programming and coordination of activities in the new building; supporting events and activities focused on staff community building and on cultivating a sense of belonging in CDS; among others.
- Bachelor’s degree and 5-8 years of work experience, preferably with some prior construction, facilities, space management, and/or AV support experience.
