Job Description: 

The Center Administration will be responsible for the overall management and efficient operation of the MHPSS Center in Mosul.  

This role encompasses administrative, logistical, security, and HR functions, with a focus on supporting the MHPSS and education teams, coordinating with Erbil-based officers, and liaising with local authorities and the governorate. 

Key Responsibilities: 

Center Management:

  • Oversee daily operations of the MHPSS Center, ensuring adherence to organizational standards and efficient functioning.
  • Manage center logistics including procurement, inventory, and facility maintenance.
  • Ensure effective implementation and monitoring of security protocols to safeguard staff, visitors, and the premises.

Logistics and Security:

  • Coordinate logistical operations such as transportation, equipment management, and supply chain activities.
  • Supervise and manage drivers to ensure timely and secure transportation services.
  • Implement and manage security measures, including emergency response procedures, to maintain a safe environment.

Human Resources:

  • Support HR functions for all center staff, including recruitment, onboarding, training, and performance management.
  • Address HR-related issues and maintain accurate personnel records.
  • Facilitate effective communication between staff and the HR department.

 

 

Coordination and Support:

  • Provide operational support to the MHPSS and Education Coordinators, assisting with program implementation and daily activities.
  • Assist MHPSS workers with their operational and logistical needs both within and outside the center.
  • Collaborate with the Financial Officer and Financial Coordinator to assist with financial management and reporting.

Liaison with Authorities:

  • Coordinate with the governorate and local authorities to prepare and obtain necessary approval letters and documentation.
  • Maintain effective communication and collaboration with local authorities and other relevant stakeholders.

Information Management:

  • Ensure that all information related to the center is securely managed, with a focus on protecting confidential information.
  • Maintain up-to-date and accurate records of center operations, staff, and activities.

Reporting:

  • Provide regular updates and reports to the Program Manager on center operations, including logistics, security, HR, and other relevant aspects.
  • Other Duties:
  • Perform additional tasks or responsibilities as assigned by the Program Manager.

Education: 

  • Bachelor’s degree in business administration, Management, Social Sciences, or a related field. A master’s degree is preferred.

Experience: 

  • At least 2 years of experience in a similar role, preferably within an NGO or humanitarian organization.

 

 

  • Proven experience in center or facility management, including logistics, Finacial, HR, and security.

Skills: 

  • Strong organizational and multitasking abilities.
  • Excellent interpersonal and communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to handle sensitive and confidential information with discretion.

Language: 

  • Fluency in Arabic and English is required. Knowledge of Kurdish is an advantage.

Additional Requirements: 

  • Willingness to travel within the region as required.
  • Knowledge of the local context and familiarity with the cultural and socio-political environment of Mosul and Ninewa Governorate.
