Position Summary
Position is located in the Department of Psychiatry (child clinic- 4444 Forest Park Avenue) and is responsible for providing clinical office support which includes greeting and registering patients, scheduling appointments, collecting co-payments, answering incoming patient phone calls, and assisting providers with refills and mediation prior authorizations; supporting our mission of providing health care in a way that best serves our diverse patient population.

Job Description

Primary Duties & Responsibilities

  • Cross coverage at front desk which includes (but not limited to): answers phone calls, monitors/routes in-basket messages, monitors work-queues and shared psychiatry email, assists with telemedicine tasks, CHADIS reports, scans documents and prior authorizations/pre-certifications.
  • May prepare patients’ charts for daily appointments. Completes order entry in the electronic medical record is part of the job function, completes requisitions/orders per Washington University guidelines.
  • Greets patients, assisting with form completion; verifies accuracy of patient’s insurance and demographic information; provides HIPAA forms, consent-to-treat forms and other necessary clinic forms.
  • Collects co-pays for services; verifies and balances receipts and payments.
  • Reviews providers’ schedules, updating when necessary. Calls patients with appointment time reminder, obtaining insurance information.
  • Schedules return patient appointments and patient testing.  Provides and logs parking validation tickets. 

Preferred Qualifications

  • Minimum of two years’ experience in a medical office.
  • Medical Assistant (MA) certification, or completion of internal MA apprenticeship certification program per clinic guidelines within one year of hire.
  • Interactive communication skills with ability to work with providers, patients, families, significant others, and support staff.
  • Strong interpersonal, organizational, and telephone skills, working knowledge of insurance, fundamentals of medical terminology, and experience/knowledge working with electronic medical records.

Required Qualifications

  • High school diploma or equivalent high school certification with two years of experience in a medical office setting or an equivalent combination of relevant education and experience.
  • Registered or Certified Medical Assistant with two years of related work experience (examples of related fields include military medic, emergency medical technicians, nurse’s aide, physical therapy and nurse technicians, and certified athletic trainers). Medical Assistant credentials must be obtained from in-person proctored exams from the following certifying bodies: NHA, AAMA or AMT. In-person proctored credentials from other certifying bodies may be accepted upon approval from Human Resources. Substitutions include:
    • Graduate of an accredited nursing program (such as RN/LPN), or comparable allied health training program with a minimum of one year of relevant experience.
    • Ability to show proof of a Medical Assistant certification/registration with successful completion of certification exam (online proctored exams are not sufficient to meet the credential requirement) within six months of hire date (or within a shorter time frame if noted by hiring manager).
  • Basic Life Support certification (Online BLS certifications, those without a skills assessment component, are not sufficient to meet the BLS requirements). BLS certification must be obtained within one month of hire date.

Salary Range
$17.00 – $24.66 / Hourly

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one’s qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
