Carnegie Mellon Statistics & Data Science department is seeking an entry level Communications and Outreach Coordinator. The coordinator will play a key role in expanding the organization’s reach and impact through the coordination, creation, and distribution of content across a variety of channels. The coordinator monitors and builds written and visual content to support the department’s mission. The coordinator creates both digital and print communications, contributes content to our social media platforms, tracks and reports trends, and performs administrative tasks to support the communication and outreach process.

Your core responsibilities include:

  • Develops newsletters, reports, and other content that supports proficiency in communications among key members of the department.
  • Help with poster sessions, PowerPoint development, et al.
  • Assist with marketing materials for the various academic program(s) support.
  • Assist with the creation of written press and public-facing materials including advisories, press releases, etc.
  • Captures photography at special events, sometimes after hours or on the weekends, and posts content on demand on the appropriate mix of channels.
  • Provides support to the operations manager for organization of events and event time support, including coordinating conferences, workshops, and summer schools hosted by the department.  This includes securing meeting space, hotel, dorm and travel accommodations, creating programs and badges.  Occasional weekends may be needed.
  • Partners closely with the university’s central communications and marketing division to ensure communications align with university branding efforts. 
  • Participates in the monthly Dietrich College Communications Meetings. 
  • Work closely with key staff members to ensure a timely response to their inquiries and provide necessary assistance.
  • Provides outreach support to the department by posting on social media, acting as a marketing liaison, and maintaining current promotional and event materials.
  • Ensures that event advertising and materials are built and completed in a timely manner.
  • Assists with events by running registration/check in, assisting in set up and tear down, printing badges, programs, and other materials as needed.
  • Content Creation – Research and write articles about faculty expertise, areas of energy interest, start-ups, and the like.
  • Event Marketing – Create invitations and Zoom links for speakers and webinars, help to draft customized invites, and work on targeted distribution lists. Provide admin support for both in-person and virtual events, working with speakers and technical staff on audio visual needs, attending events for reporting, video, and photography, and other similar activities. Post videos on web site, and manage “Archive” section.
  • Regularly check web content pertaining to various communications received, events, etc. to track for accuracy on dated items and to remove older content.  Ensures all content is updated and timely. 
  • Coordinates the department’s social media presence on various platforms including Facebook, Twitter, Instagram, and Linkedin.
  • Works with the department head to handle the faculty RPT process (promotion and tenure). This entails soliciting letters (internal, external, and student), working with the faculty candidates to coordinate materials, and monitoring the process of cases in the Interfolio system, while adhering to a strict schedule.
  • Organizes the faculty interview and selection process which includes posting of job announcements, communication with candidates and scheduling of interview visits.  This also includes advertising of the job posting.
  • Assists in general marketing and communications duties as assigned.

Technical Competencies:

  • Exceptional writing skills for both professional and social media audiences
  • Proven fluency in Microsoft Office (Word, Excel, Powerpoint) and Google Suite, with database management and CRM platforms
  • Demonstrated fluency with WordPress or similar website content management systems, Canva, Adobe Creative Solutions, Mailchimp, Google Analytics, Data Studio, WooCommerce; experience with scheduling and evite platforms like Eventbrite a plus
  • Prior experience posting and promoting original and engaging content on LinkedIn, Facebook, Instagram, Twitter and YouTube
  • Prior experience with designing in Photoshop, Adobe Illustrator and/or InDesign or similar photo editing and design programs preferred

  • Strong understanding of social media platforms, trends, algorithms, and standard processes.

Qualifications: 

  • Associates degree required in journalism, communications, marketing, or a related field.  Bachelor’s degree is preferred. 
  • One to two years of previous administrative support work experience.
