ORGANIZATIONAL CONTEXT
The Pacific is one of the world’s most disaster-prone regions, with Pacific Island Countries ranked among the most vulnerable in the world to natural disasters due to rising sea levels and increasing severe weather patterns caused by the effects of climate change. Of the 20 states with the highest average disaster losses scaled by GDP, eight are Pacific Island countries.
Building on its engagement in the Pacific since 2015, WFP works with Pacific governments and partners to improve capacity to reduce the risk of, prepare for and respond to disasters. This is achieved through strengthening coordination mechanisms in logistics, emergency telecommunications and food security, as well as data and cash preparedness. This is done in close collaboration with national partners, including those who lead the national coordination mechanisms through training and ongoing engagement and support.
The Communications Assistant will work under the day-to-day supervision of the Communications Officer, under the overall guidance of the Head of Partnerships, Reporting and Communications, to support with communications, advocacy and external messaging for WFP in the Pacific. The Communications Assistant should demonstrate responsibility and initiative to respond to tasks assigned by the Communications Officer. The role is also required to use good judgment in dealing with unforeseen problems on a daily basis, in consultation with the Head of Partnerships and the Communications Officer, particularly in terms of managing risk and avoiding potential reputational damage.
JOB PURPOSE
To support the implementation of the Communications Plan by supporting and delivering a range of communications activities, providing research and analysis, and prioritizing tasks effectively. Specifically, the WFP Pacific Multi-Country Office is seeking a Communications Assistant to conduct the following tasks:
• Support in the design and layout of WFP branded visibility materials and products for both print and electronic media
• Support with video shooting and editing
• Photography and editing
• Visual enhancement of briefs and other documents
• Ensure all WFP visual products adhere to the global WFP Branding Guidelines
KEY ACCOUNTABILITIES (not all-inclusive)
- Support the Communications Officer in the development and dissemination of social media posts and campaigns for target audiences on the WFP Pacific social media channels (e.g., Twitter/X, Facebook).
- Support the Communications Officer with the development of graphic design and layout for print and online communication materials (e.g., infographics, factsheets, brochures, bulletins, flyers, reports).
- Support with the production of simple, high quality videos for various audiences (including but not limited to social media, development partners and donors).
- Support the Communications Officer in managing the country office’s social media accounts and developing social media content in line with WFP standards and guidelines.
- As and where needed, support with field missions in the Pacific region to gather photo and/or video content for the creation of communication products.
- Help implement WFP’s corporate branding policy and graphic guidelines and ensuring adherence to donor visibility conditions in coordination with relevant units.
- Support with knowledge management by managing and regularly updating the storage of audio/visual materials, maintaining contact directories, and inventories on relevant WFP knowledge management platforms (e.g., Teams, SharePoint).
- Support with the organisation and execution of events, workshops, working closely with colleagues, external partners and media, to ensure events are effectively scheduled, publicised and attended.
- Monitor traditional and social media, and report relevant information and analytics to the Communications Officer and Head of Unit to inform the development and/or evaluation of communications activities and strategies.
- Help improve communications methods and practices to contribute to a better flow of information about WFP’s work to the media and other relevant stakeholders.
- Support the Communications Officer with all procurement related tasks, including liaising with vendors and following procurement guidelines for the purchase of visibility products and services.
- Perform any other duties as required.
STANDARD MINIMUM QUALIFICATIONS
EDUCATION
Completion of secondary school education. A Diploma, Advanced Diploma in Journalism, Mass Communication, Public Relations, ICT, or any related field will be an added advantage.
WORK EXPERIENCE
• Three years or more relevant work experience in communications and graphic design roles for social media.
• Experience using Canva and Trello required.
• Experience in the use of the Adobe Creative Suite would be desirable. The apps mostly used are InDesign, Photoshop, Acrobat, Illustrator and Premiere Pro.
• Experience in taking photographs and shooting professional videos would be highly desirable.
• Experience in the Office package with an emphasis on the visual opportunities in apps like Word, PowerPoint and Excel.
Candidates are expected to submit three samples of their work as part of the application.
DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE:
• Social Media experience.
• Strong eye for detail.
• Work experience with the UN or large NGO.
• Strong creativity.
• Culturally sensitive – candidates should enjoy working in a new context with people of other cultures.
LANGUAGE
• Fluency in spoken and written English and Fijian is required
