Position Summary

The Community Outreach Coordinator oversees community relations efforts related to the development department. The position is responsible for booking, managing, and staffing all engagements for the Pet Adoption Wagon (PAW) and other community engagement and adoption events/vendor fairs/donation drives. They serve as public facing representative of IndyHumane in various private and public events, promoting IndyHumane programs, services, values, mission, fundraising needs, and its’ commitment to the community.

Essential Position Duties & Responsibilities

  • Respond to all PAW inquiry and invitation requests, and coordinating staff, resources, and volunteers as needed.
  • Drive PAW vehicle to all PAW events. Keep vehicle clean and in good repair by reporting items that need attention. Restock PAW as needed.
  • Maintain a list of possible PAW and other outside engagement opportunities to educate, inform and fundraise with — festivals, businesses, hospitals, schools, civic groups, police/fire depts., IACC, senior or assisted living facilities, etc.
  • Work closely with Corporate Relations Officer to fulfill corporate requests for PAW events.
  • Manage and update PAW calendar internally and regularly update on the IndyHumane PAW web page.
  • Work closely with Marketing Coordinator to ensure timely promotion of PAW events on social media.
  • Create PAW event recap for staff and board members.
  • Track all PAW event donations and expenses.
  • Coordinate selection and adoption of animals for each PAW visit with medical, behavior, customer service, and foster as needed.
  • Direct volunteers in animal pick up/load/adoption/return
  • Record outcomes in PetPoint database.
  • Coordinate PAW logistics with host and volunteers.
  • Coordinate and host (or assigning to CEO or CDO) tours for corporations, schools, and other organizations.
  • Media representative at PAW events.
  • Manage event signage, giveaways and maintain inventory.
  • Provide Kennel Sponsorship updates for both individual and corporate sponsors.
  • Create weekly employee spotlight.
  • Enhance shelter relationships with other nonprofits and organizations, in and outside of animal welfare.
  • Work closely with the Development team on all additional projects as needed.
  • Attend regular Development team meetings and IndyHumane all-staff meetings.
  • Perform other duties and special projects, as assigned.

Qualifications

  • Bachelor’s degree. Non-profit fundraising experience a plus.
  • Outgoing, positive, customer focused manner
  • Ability to prioritize and work effectively as a member of the development team; maintain confidentiality of donor information.

· Proficient in computer skills, i.e., Microsoft Word, Excel, e-mail, etc.

  • Excellent written, oral, and analytical skills.
  • Proficient in computer applications (Word, Excel, etc.).
  • Commitment to the mission of the Humane Society of Indianapolis.
  • Flexibility, high energy level, initiative.
