Post of duty: Barbados.

The objectives of Compete Caribbean Partnership Facility (CCPF) are to (i) to support firms to grow, innovate and enter new sectors and markets; and (ii) to promote an environment that enables innovation and growth. The program is structured into two pillars. Pillar I: Productivity and Innovation in Firms; and Pillar II: Business and Innovation Climate. The program is jointly funded by the Inter-American Development Bank (IDB), the United Kingdom’s Foreign, Commonwealth & Development Office (FCDO), the Caribbean Development Bank (CDB), Global Affairs Canada (GAC) and is executed by the IDB, through a Facility Coordination Unit (FCU) based in the IDB’s Barbados Country Office.

The CCPF is currently supporting projects in The Bahamas, Barbados, Belize, Guyana, Jamaica, Trinidad and Tobago, Suriname, Antigua and Barbuda, Dominica, Grenada, St. Kitts and Nevis, Saint Lucia, and Saint Vincent & the Grenadines. Each of the projects fall into one of the following instruments:

Projects financed by Pillar 1: Productivity and Innovation in Firms fall under one of the following three instruments:

· Direct Support to Clusters and Value Chains.

· Stimulating entrepreneurship and innovation in the private sector.

· Support for productivity through technology adoption.

Projects financed by Pillar 2: Business and Innovation Climate fall under one of the following three instruments:

· Supporting institutions in charge of public-private dialogue and private sector development for evidence-based policymaking.

· Supporting the drafting and implementation of policies or regulations that can significantly improve the business climate, particularly the Doing Business indicators.

· Data and knowledge generation for policy or regulatory reforms related to private sector development.

Compete Caribbean has a strong portfolio of projects that have significant potential to impact private sector development throughout the 13 beneficiary countries.

The team’s mission: The FCU comprises a team led by an Executive Director, who is supported by Coordinators (3), the Project Development Consultants and an Administrative Assistant. The FCU is also supported by IDB Specialists who provide technical input into, and serve as Team Leaders for, projects financed under the Facility. The mission of the team is the efficient management of the resources of the Facility towards achievement of the Facility’s planned outputs, outcomes and impacts.

About this position:

We are looking for a motivated, reliable and experienced Administrative Assistant. As Administrative Assistant, you will provide administrative support to the Compete Caribbean Partnership Facility FCU.

You will work in Compete Caribbean Partnership Facility part of IFD/CTI department. The Competitiveness, Technology and Innovation (CTI) Division, provides funding, technical assistance and knowledge products to support governments in key action areas such as firm-level innovation, entrepreneurship ecosystems, green innovation, digital transformation, creative economy, social innovation, and productive development.

The consultant will be responsible for various administrative, support, and clerical tasks including:

Provide support to the Executive Director and all members of the FCU as required:

  • Assist with the preparation of documents and efficient processing in the Bank’s record management systems. Prepare and maintain databases for corporate and project related activities and contacts.
  • Enter data and update information into the Bank’s financial and information management systems for all components/units of the FCU as required.
  • Ensure accurate physical and electronic filing of documents in accordance with Bank’s Policy.
  • Assist with the preparation and compilation of annual reports in the Bank’s systems.
  • Processing of administrative and technical cooperation payments through the Bank’s systems

Maintain the Program’s email – monitoring, evaluating and responding asrequired.

  • Manage and process the Program’s correspondence – including drafting formal letters to public and private counterparts, arranging signatures, sending and confirming receipt.
  • Assist team members with obtaining mission clearance and travel arrangements, and with organizing missions – meetings with counterparts, etc.
  • Assist in the design, preparation and coordination of face to face and virtual events, corporate activities, conferences, training workshops and project related events.
  • Requesting, processing and follow-up of contracts for individual and firm procurement through the Bank’s systems, as required. Assist with the shortlisting of candidates and all logistics related to arranging interviews and selections.
  • Provide support to the onboarding of new members of the Facility including collaboration with the IT department to arrange provisions.
  • Facilitate office activities related to team building and maintaining a productive work environment.
  • Assist with the maintenance of office equipment and procurement of good and services necessary to ensure team members are supplied with adequate tools to work efficiently.

Manage distribution of information between the Facility and its donors andpartners.

  • Maintain cordial and professional relationships with all suppliers of services to the Facility.
  • Other relevant tasks for the implementation of the program as they become necessary and are prioritized by the management of the Facility.

What you’ll need

  • Education: Technical studies or Associate Degree in Office Administration/Accounting and/or other relevant formal training. A minimum of 2 years work experience in General Office Administration and Accounting environment.
  • Experience: At least 2 years’ experience in office administration or professional experience providing administrative support to diverse teams in multilateral development institutions.
  • Languages: Proficiency in English.

Requirements:

  • Citizenship: You are either a citizen of Barbados or a citizen of one of our 48-member countries with residency or legal permit to work in Barbados.
  • Consanguinity: You have no family members (up to the fourth degree of consanguinity and second degree of affinity, including spouse) working at the IDB, IDB Invest, or IDB Lab.
