Org. Setting and Reporting
This position is located in the Planning, Coordination and Meetings Section (PCMS) of the Conference Management Service (CMS), Department for General Assembly and Conference Management (DGACM) in Vienna. CMS operates administratively under the Division for Management (DM), United Nations Office at Vienna (UNOV). The incumbent reports to the Chief of Section and is under the general supervision of the Chief of CMS. Responsibilities
Within limits of assigned authority, the Conference Service Assistant will be responsible for the following specific duties: • Perform a wide range of office support and administrative functions. • Respond or draft responses to routine correspondence and other communications; use standard word processing software to produce a wide variety of complex documents and reports. • Monitor processes and schedules related to outputs, products, tasks, etc.; where applicable, assist in the verification of receipt and accuracy of requisite documents, approvals, signatures, etc. to ensure compliance with relevant requirements. • Research, compile and organize information and reference materials from various sources for reports, work plans, studies, briefings, meetings/conferences, etc. • Proofread documents and edit texts for accuracy, grammar, punctuation and style, and for adherence to established standards for format, both in draft and final form, including correspondence needed by the Chief of Service/Section, and as needed by colleagues in the Office of the Chief, CMS. • Maintain calendar/schedules for both managers and the Office of the Chief; review weekly calendar of meetings and identify high-level meetings; monitor changes and communicate relevant information to appropriate staff inside and outside the immediate work unit. • Screen phone calls and visitors; handle telephone queries received from within the Organization and outside (other organizations, permanent missions and individuals) and, if necessary, refer them to the appropriate personnel or office for handling. • Initiate documentation and meeting requests through the conference portal (e.g. gDocs, gMeets). • Serve as liaison with other sections and units within CMS and PCMS. • Organize and maintain the filing system of the Service/Section, ensuring that all files are properly indexed for easy reference. • Update and maintain large distribution lists; monitor, prepare and distribute various materials, reports; handle arrangement for printing as necessary. • Provide logistical support to meetings and events organized by the Service/Section. • Cover the functions of other General Service staff when they are absent on annual or sick leave. • Assist with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making. • Assist with visualizations and updating of content on Service-specific web pages. • Perform other work-related tasks as required.

Education
High school diploma or equivalent. A recognized first-level university degree (Bachelor’s degree or equivalent) may be accepted in lieu of two years of required work experience.

Work Experience
A minimum of three years of progressively responsible experience in conference services, administrative support in a front office or a related area is required. The minimum years of relevant experience is reduced to one year for candidates who possess a first-level university degree or higher. Work experience with applications for communication and collaboration, spreadsheets and web-based applications is desirable. Work experience in an international setting is desirable. One year or more of experience in data analytics or related area is desirable.
Languages
English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of another official United Nations language is an advantage.
