B.Project Background

The GIZ project “Green Innovation Centres for the Agriculture and Food Sector” (hereafter called as the project or Green Innovation Centre) is part of the Special Initiative “Transformation of Agricultural and FoodSystems” (SI AGER) earlier known as “One World – No Hunger” (SEWOH) of Germany’s Federal Ministry for Economic Cooperation and Development (BMZ). The project addresses poverty and hunger by establishing Green Innovation Centres for the agriculture and food sector in 15 countries, amongst them India. For the Green Innovation Centres India, sustainable agri-business, local innovation systems and competence development are the core concerns. In addition, the project is committed to the cross-cutting issues of water and soil management, climate change adaptation, renewable energy, gender, youth employment, digitalisation, and agri-research, along value chains based on three crops: tomato, potato and apple in the Indian states Maharashtra, Karnataka, Andhra Pradesh and Himachal Pradesh. The project is currently seeking an administrative assistant for its Bangalore office to support the project on activities related to administrative components of the project.

C.Responsibilities

 

·Administrative functions of the project office including bookkeeping of the project and administrative support.

·Managing the IT and electronic equipment and it’s functioning in the office.

·Procurement and contract management.

 

D.Core Scope of Tasks

 

1.Bookkeeping of the projects.

·Prepare transfers and/or other bank documents and check these before execution.

·Prepare monthly payments related to cash transactions.

·Support administrative aspects of financial management such as bank withdrawals direct debit orders.

·Check unexpected entries in the cash book.

2.Administrative support

·Prepare requests to head office with respect to travel bookings.

·Assist in organizing events and workshops.

·Manage stationery of the office.

·Processing invoices and bills of vendors, consultants, etc.

·Travel management booking of air tickets and arrange local transportation for project staff.

3.Information technology support

·Ensure the function of the office electronic and IT equipment and coordinate with service agencies and IT department and head office to provide proper service to the staff.

·Manage the server and conduct timely backups of all information at the office.

Other duties/additional tasks

·Photocopy and scan documents as needed.

·Report to the project administrative professional on all problems regarding financial administration and compliance with rules.

·Is responsible for filing financial administration documents and treating information confidentially.

·Performs other duties and tasks at the request of administrative professional of the project and/or management.

E.Required Qualifications, Experience and Competencies

  • Bachelor’s Degree from a recognized university.
  • A comparable position with an international organization is desirable.
  • 0-3 years of experience in comparable position with an international organization.
  • Organisational skills and ability to work on one’s own initiative and at a concept level.
  • Very good working knowledge of IT technologies (e.g. MS Office)
  • Excellent administrative skills, proficient computer skills, good written and verbal communication skills with a spirit of service orientation 
  • Extremely professional, personable and an overall team player.
  • Proficient computer skills, Microsoft Office Suite (Word, PowerPoint, Outlook, and Excel)
  • Ability to work under pressure.
  • Ability to multitask, prioritize, and manage time efficiently.
  • Ability to work well with all levels of internal management and staff, as well as consultants and vendors.

F.Location: Bengaluru

G.Duration of the contract: Until 30th March 2025
