The Coordination and Operations Officer, under the overall supervision of the Head of the Independent Integrity Unit (IIU), will be responsible for a range of activities supporting budget and administrative planning/management, as well as the effective implementation of IIU initiatives, including the implementation of the capacity building system and Proactive Integrity Reviews. S/he will further be responsible for developing innovative systems to enhance IIU’s efficiencies and to monitor the IIU performance under the IIU strategic objectives. S/he will also be responsible for setting up and overseeing IIU’s internal operating procedures and coordinating with IIU’s internal and external stakeholders, including GCF governing bodies.
- Support the planning and management of the yearly and multi-annual IIU workplan and budget, including the identification of potential budget shifts, savings and re-allocations throughout a given budget year
- Identify and implement business efficiencies for the IIU through the use of innovative systems
- Develop and maintain standard operating procedures for the IIU for defined administrative processes
Engagement:
- Coordinate with relevant Secretariat stakeholders on IIU procurement processes and the closure and/or setup of new IIU accounts under the applicable GCF information system
- Liaise with relevant Secretariat offices on matters related to the IIU budget and its execution
- Coordinate with the IIU Team Assistant on administrative/procurement-related tasks and ensure compliance with IIU operating procedures
Delivery:
- Track the progress of approved activities under the IIU’s strategic objectives and approved workplan/budgets through digital technology, and engage with the respective IIU activity owners regarding progress
- Support IIU activity owners in implementing their activities through logistical and operational support
- Monitor prescribed deadlines for the timely delivery of IIU documents to the Board and relevant Committees in accordance with annual schedules
- Act as notetaker for the IIU for all Board and Committee meetings
Requirements Education, experience, technical competencies required :
- Advanced university degree (Master’s degree or equivalent) in law, social sciences, international relations, business administration, public relations, or related discipline is required; or a relevant Bachelors’ degree with an additional 2 years professional experience
- Minimum of four (4) years of relevant professional experience in project/programme management, process innovation, administrative and operational support and departmental budget planning
- Proven ability to set up and monitor budgets, monitor/track departmental performance, implement innovative systems to enhance efficiency, draft operational briefing documents reports and liaise with internal and external stakeholders in different positions and of different cultural backgrounds
- Experience in working in an international institution and in an intercultural setting is highly desirable
- Fluency in English (both oral and written) is required; Knowledge and ability to use another UN language is an advantage.
