Minimum Hiring Annual Salary:
$57,030.00
Maximum Hiring Annual Salary:
$59,881.50
To attain the maximum annual salary, employee must meet all minimum qualifications plus:
- 5 (five) years of additional applicable work experience and/or degrees higher than minimum qualification degree. Degrees higher than the minimum qualification degree can be used in combination with additional work experience.
The stated salary amounts are not guaranteed in the event employment ends with Aims during any fiscal year.

Job Description:

This position plans, organizes, coordinates and facilitates college-wide logistics coordination for event set ups, tear downs, etc. (all campuses), including department or program sponsored events, educational partnerships, community outreach and private/corporate functions Schedules staff and maintains communication with all parties involved with the preparation, set up, tear down and logistics management of the event. Coordinates and monitors event timelines.
Reviews, updates and recommends logistics staffing, AV requirements/staffing, power requirements, building controls, rental equipment, etc. Communicates/Coordinates directly with the Staff Associate, Staff Executive II, Buildings Supervisor, Grounds Supervisor and/or Assistant Director – Facilities Operations, as needed. Prepares logistics support material for specific events, as needed. Attends coordination meeting with event manager and/or requester, staff and/or faculty, depending on the request/event. Reviews/Collaborates the college-wide master events calendar. Supervises set up/technical staff
Logistics Management:
- Prepares support material for specific technical logistic requirements, as needed.
- Purchase supplies relating to departmental needs.
- Attends coordination meeting with event manager/requestor, staff and/or faculty, depending on the technical logistics required.
- Schedules and maintains communication with all parties involved with the preparation, set up, tear down and technical logistical management.
- Reviews, updates, and recommends technical logistical information based on event expectation.
- Coordinates and organizes college-wide technical logistics and staffing for (Greeley, Windsor, Fort Lupton, Loveland) event support, including department or program sponsored events, educational partnerships, community outreach and private/corporate functions as scheduled by the Event Manager.
- Custodial Billing for events through Facilities & Operations.
- Coordinate with Food Services for input with catering configurations.
- Outside vendor contracts.
- Outside vendor billing.
- Technical Logistics staffing approval of all internal/external submissions.
- Scheduling of internal vendors for events – extra custodial, equipment, etc.
- Scheduling of all staff for set up’s and tear down’s.
- Working with external vendors on quotes for logistical equipment rentals.
- Scheduling of external vendors for set up and tear downs.
- Approval of external vendor invoices & payments.
- Coordinates with grounds to schedule irrigation, mowing and landscape work around all outside events and for irrigation line marking for larger scale events needing tenting.
- Coordinates with Building Services for HVAC and access control outside of normal building hours.
- Reviews/provides input for work orders pertaining to event set ups/ furniture arranging, AV equipment issues, AV technical issues.
- Collaborates with Staff Associate, Staff Executive II and Event Manger(s) for event set up calendar for Logistics staff.
- Logistics staff for set up and AV needs for all campuses (internal and external events).
- Can obtain additional staff available through coordination with Grounds and Building Supervisors for use of facilities staff, when needed. i.e; college-wide events.
- Manages inventory and utilization of equipment needed for events.
- Maintain a collaborative relationship with the event department and master events calendar with input from a contingent of stakeholders, internal and external.
- Update policies and procedures manual as it relates to technical logistics; facility use agreement/expectations, safety, risk, etc., this includes but is not limited to:
Operational Coordination at Events
- Attends events and college functions to facilitate logistic support.
- Works closely with Event department/Event Manager’s to determine /provide guidance for technical logistical needs for all events.
- Works closely with Facilities and Operations front office staff; Staff Associate and Staff Executive II in reviewing calendar and staffing needs for all technical logistics.
- Ensuring that the Emergency preparedness and Action plans are followed accordingly as it relates to public assemblies; working with the Safety and Security department, Event Manager and Assistant Director-Facilities Operations.
- Implementation of risk analysis recommendations; as it relates to events.
- In-house/Out-source technical logistics; as it relates to events with guidance from the Director of Campus Safety, Event Manager, Assistant Director-Facilities Operations Manager.
- Ensuring that all safety policies and procedures are followed as it relates to technical logistics.
- Dealing with compliance issues and resolving appropriately.
Budgetary Responsibilities:
- Assisting with budget monitoring as it relates to logistics & technical services.
- Assisting with development of budget as it relates to logistics & technical services.
Supervision:
- Responsible for supervision of logistics & technical staff; which includes but is not limited too, assigning / reviewing work, performance reviews, leave & time approvals, etc.
Other Duties as Assigned
Minimum Qualifications:
- Associate’s Degree in Hospitality, Event Management, Business, Technical Theater or other related field; Plus,
- Three (3) years related experience. Of the required three (3) years of experience, one (1) year must be supervisory and/or demonstrated leadership experience or an equivalent combination of education and/or work experience.
- This position requires the use of a company vehicle and/or personal vehicle for business travel. The selected candidate must successfully pass an MVR and be insurable under Aims insurance.
- A pre-employment post-offer physical evaluation will be required of the selected candidate.

Preferred Qualifications:
- Bachelor’s Degree in Hospitality, Event Management, Business, technical theater or related field.
- Problem solving skills.
- Previous experience working with various customers.
- Previous budget experience.
- Previous experience coordinating logistical and technical staff in a higher education setting.
