Key Responsibilities:

The Preparedness and Reporting Coordinator is being established in recognition of the increasing frequency and intensity of disasters and the ensuing need to anticipate, plan for and reduce disaster risk in order to more effectively protect persons and communities, ensuring strong internal coordination and information sharing within the Disaster Management Team, and supporting leadership to ensure the breadth and depth of DMs work is appropriately represented internally and externally.

The role will serve two major areas of work:

  • Support preparedness & field readiness by keeping standards, tools and systems up to date and functional, supporting regions and FO’s on specific preparedness initiatives and coordinating and aggregating information on disaster risk reduction approaches and programming (50%)
  • Support the Disaster Management Team with information gathering and reporting. He/she will collect, organize and relay information to foster collaboration and alignment among team members (50%)

MAJOR RESPONSIBILITES:

20%Revitalize and coordinate regular engagement opportunities with the Disaster Risk Reduction Centre of Competence (CoC)

  • Work closely with DM Knowledge Management to refresh CoC scope and membership.
  • Plan and roll out quarterly and annual CoC engagement activities, including webinars, drop-in hours and newsletters.
  • Document promising and best practices for DRR at World Vision and produce information and briefing materials for internal and external engagement.
  • Work with DM Programmes to develop a DRR capacity statement.

15% Support disaster risk reduction and preparedness initiatives with prioritised field offices

  • Track GC-DM preparedness support activities with individual field office
  • At manager request, provide targeted preparedness support to field offices (e.g. conduct refresher orientations, coordinate capacity building support, share useful resources)
  • Keep orientation and training materials (e.g. slides, briefing notes) up to date.

10% Oversee annual Preparedness Scorecard reporting and analysis.

  • Support regional humanitarian and emergency affairs (HEA) teams to complete Scorecards, including conducting regional and field office orientations and keeping platform orientation materials up to date.
  • Support improvements to the Scorecard digital platform and dynamic report
  • Work with DM Digital on platform administration (e.g. vendor contract renewals, maintenance budget allocation)
  • Analyse Scorecard results annually in conjunction with disaster risk and crisis severity data to refresh list of FOs prioritised for preparedness support.

5% Ensure preparedness, standards and portfolio knowledge management products and systems are functional and updated.

  • Ensure that online and PDF versions (including translated versions) of the Disaster Management Standards and Emergency Management System are up-to-date, free of errors and readily available to users.
  • Maintain the Preparedness, DMS and EMS sections of WVs intranet (WV central)
  • Update the response portfolio tracker on a weekly basis and ensure portfolio reports are up-to-date, accessible to key users and informing portfolio oversight and annual reporting efforts.

50% Ensure that information pertaining to Disaster Management work is collected, organized and presented in a clear and compelling way.

  • Participate in all Disaster Management Leadership meetings, Forums and Town Halls and assist with the preparation of agendas, pre reads, meeting minutes and follow up of action point.
  • Collect and organize Key Disaster Management presentation materials and assist in the preparation of accurate and effective presentations.
  • Write and edit a wide range of internal information, products, as well as develop charts, graphs, and other visuals as needed.
  • Prepare talking points, newsletters and PowerPoint presentations.
  • Work closely with DM Knowledge Management to ensure that information is stored and shared thought the appropriate internal channels.
  • Gathering content on DM priority areas and generate content for social media usage.

KNOWLEDGE/QUALIFICATIONS FOR THE ROLE:

  • 1-2 years of experience in humanitarian assistance, disaster risk reduction and/or transformational development
  • Project and initiative management experience
  • Ability to communicate well in a variety of settings (including remote/online teams) and to function in a diverse and globally dispersed team.
  • Understanding of the international humanitarian system, principles and key standards
  • Strong skills in coordination and reporting
  • Excellent written, verbal and visual/design communication abilities

Required Education, training, license, registration, and certification:

  • Undergraduate degree in related field.
  • Proficiency in Office 365, SharePoint Online and meeting management tools (MS Teams, Zoom, etc.)
  • Excellent analytical and data analysis skills and good experience presenting information in clear information products.
  • A proven ability to communicate clearly and confidently, verbally and in writing.
  • Excellent inter-personal and team working skills, with an ability to work flexibly and adapt to emerging issues.
  • Knowledge management and information management skills and qualifications an asset
  • Previous experience in executive meeting coordination and administration is a plus.
  • Excellent writing skills in English. French, Spanish, Arabic and/or Portuguese an asset.

Travel and/or Work Environment Requirement:

  • Up to 20% travel
