About the ROLE

The Corporate Administration Officer role is one of three identical positions in a small team. The main purpose of the role is to provide outstanding administrative services to our internal business units and frontline stakeholders to support their capacity to serve clients. These administrative duties cover areas such as asset management, fleet management, accounts payable, travel management, records management, human resources, facilities services requests, stationery/office supplies ordering, mail processing and other general office duties.

Key Responsibilities

  • Autonomy to perform a variety of day to day administrative and support services that are routine in nature and directed by the Senior Business Support Officer.
  • Provide reception duties including confidential secretarial and administrative services, including quality word processing skills.
  • Manage and direct incoming telephone calls and external and internal correspondence (monitoring email inboxes).
  • Create a positive relationship in all interactions, maintaining a professional and friendly manner by acting in accordance with the Queensland Public Sector legislative framework and Code of Conduct.
  • Maintain an efficient and up-to-date physical and electronic filing and retrieval system for the office, including file creation, file maintenance, archiving, maintenance of office databases and data entry.
  • Maintain all aspects of government fleet cars in relation to scheduling servicing, repairs and maintenance. Including the processing of online fleet bookings and meeting logbook reporting requirements.
  • Comply with administrative processes, policies and procedures to ensure the delivery of quality services to relevant clients and stakeholders.
  • Book standard and sometimes complex travel arrangements for staff based across Queensland using the Corporate Travel Management System.
  • Prepare various forms and documentation for processing, under direction, relating to purchasing, personnel and finance, using SAP (such as reimbursements, domestic travel allowance claims and invoices).
  • Actively participate in the review and continual improvement of service standards to both internal and external customers.
  • General office duties including monitoring stationery and office equipment supplies, toner and MFD consumable ordering, building management requests, photocopying, fax and mail distribution.
  • Demonstrated ability to work under pressure, meet deadlines, respond to new and unexpected events and appropriately escalate issues.
  • Participate productively and collaboratively as a member of a team in delivering support and services to business areas.

Mandatory Qualifications, Conditions and Requirements

It is a mandatory requirement for the occupant of this position to hold an unrestricted driver’s licence. Officers are to drive government vehicles as part of the role’s requirements, from time to time.
