WHAT IS THE OPPORTUNITY?

This full-time position is a key player in managing and enhancing the educational experience for our clients. The role involves ensuring the efficient and successful delivery of our water-sector-focused courses. The primary focus will be managing the entire online course process, working with various systems for delivery and reporting.

As a Course Administrator at Global Water Center, your work will involve a range of responsibilities. You will communicate with water-sector learners from multiple countries, set up courses in the Learning Management System, provide technical assistance and customer service during course delivery and report course metrics. And you will coordinate with GWC divisions to ensure that all online courses are staffed with qualified instructors.

The ideal candidate will have experience managing projects with a strong attention to detail and impeccable written English skills. They will also have experience working with systems and applications and providing technical support. This position is hybrid in Charleston, SC and remote elsewhere.

KEY RESPONSIBILITIES

Learning Management Administration

  • Configure Learning Management System (LMS) for users and course administration.
  • Develop and document standard operating procedures to effectively manage course assets within the LMS.
  • Integrate and customize the LMS: Configure and maintain integrations of the LMS with other software.
  • Implement, enroll, and oversee course preparation, learning activities, and administration for various systems including the LMS, Salesforce, Smartsheet, and WhatsApp.
  • Create and manage project plans for each course using project management software.
  • Select course participants based on criteria by creating and utilizing system reports for tracking.
  • Craft and send communications utilizing various systems for course applicants regarding their acceptance status.
  • User support: Provide troubleshooting assistance and respond to participant inquiries via the LMS, email, and WhatsApp.
  • Monitor course participants’ progress and initiate communications in English, French, or Spanish for those who need support.
  • Contextualize and schedule automated course communications in English, French, or Spanish via Salesforce and WhatsApp.
  • Assist with communication and system setup for post-training support for individuals who have participated in GWCs training.
  • Handle multiple projects simultaneously, ensuring quality outcomes within an agreed-upon scope, schedule, and budget.
  • Create and maintain a yearly calendar of online course offerings.

Course Instructor Management

  • Collaborate with GWC team members to ensure that all online courses are staffed with qualified trainers.
  • Assist in the recruitment and selection of course instructors.

Monitoring and Reporting

  • Produce weekly participant progress reports using the LMS and Salesforce for instructors and project managers.
  • Generate course reports based on data from the LMS, Salesforce and participant feedback / surveys.

Client Management

  • Foster effective communication in cross-cultural environments with humility and an intentional focus on overcoming stereotypes and language barriers.
  • Maintain positive communication with partner organizations and team members across multiple countries and time zones.
  • Model the Global Water Center’s core values of Love, Excellence, and Integrity and work with colleagues, partners, prospects, vendors, and the public in humility and generosity.
  • Represent the Global Water Center’s brand to external audiences, including potential funders, partners, subject matter experts, training partners and course participants.

QUALIFICATIONS

  • Associate or bachelor’s degree in information technology or equivalent experience.
  • 2+ years project management experience using project management software (Smartsheet).
  • Proficiency in the use and administration of learning management systems, client relationship management tool (preferably Salesforce), MS Suite, and form and evaluation software.
  • Experience with eLearning authoring tools is an asset.
  • Verbal, written, and multicultural communication expertise.
  • Highly analytical with keen attention to detail.
  • Fluent written and spoken English required. French and/or Spanish is an asset.

PHYSICAL DEMANDS

  • Ability to safely lift a minimum of 35 lbs.
  • Ability to sit and/or stand for extended periods.
  • Ability to work outside the normal Monday to Friday, 8am to 5pm workweek: Ability to work flexible hours to provide course support across multiple time zones, including but not limited to Eastern, Pacific, Greenwich Mean Time, Indian Standard Time, Central European Time, and other European time zones.
