Project: Technical Assistance for Enhancing Economic Transformation in Conflict and Migration-Prone Regions of Ethiopia

DAI has been awarded the contract for the EU-funded project “Technical Assistance for Enhancing Economic Transformation in Conflict and Migration-Prone Regions of Ethiopia”. The project’s overall objective is to foster economic transformation in targeted regions affected by conflict and migration pressures. The implementation period spans 48 months and includes a core team of four long-term experts and a pool of short-term non-key experts.

To support effective implementation of project activities, DAI seeks to recruit a dynamic and well-organised Project Assistant. The selected candidate will play a key role in managing day-to-day office functions and providing vital administrative, financial, and logistical support to the technical assistance team.

DAI is looking to recruit Project Assistant

Objective of the Role
To ensure smooth and efficient functioning of the project office through administrative, financial, and logistical support, including translation and communication assistance when required.

Key Responsibilities

Administrative and Logistical Support:

  • Manage and maintain project office operations and supplies.
  • Supervise office support services (organisation and ensuring adequate equipment, utilities, maintenance, cleaning, etc).
  • Organise internal meetings and manage use of meeting rooms.
  • Coordinate logistics for field missions, including transport and accommodation for visiting experts and domestic travel within Ethiopia.
  • Handle reproduction, mailing, and distribution of project materials.
  • Maintain and update the project’s contacts database.

Financial and Procurement Support:

  • Implement financial administration procedures in compliance with EU rules and regulations.
  • Maintain accurate records of project expenditure and oversee bank account and petty cash management.
  • Prepare monthly financial reports and conduct timely bank reconciliations.
  • Support procurement processes and ensure proper documentation for payments to local suppliers.
  • Ensure the availability and physical and digital filing of financial, personnel, and procurement documents.

IT and Communication Support:

  • Ensure server backups and functionality of IT equipment.
  • Translate documents and provide interpretation from/to Amharic for international experts when needed.

Other:

  • Perform any other duties as reasonably assigned by the Team Leader or Project Manager.

Required Qualifications and Skills
Education:

  • University degree in Business Administration or a related field.

Essential Skills and Experience:

  • Fluency in Amharic and English (written and spoken) is mandatory.
  • Proven experience in office administration, including procurement, filing, and document management.
  • Demonstrated experience in financial management, including petty cash handling, bank reconciliations, and preparing financial reports.
  • Experience with EU-funded projects or similar donor-funded initiatives is a strong asset.
  • Strong logistical coordination skills, including travel arrangements, scheduling, and event organization.
  • Excellent organisational and multitasking abilities to handle a range of responsibilities with attention to detail.
  • Discretion and reliability in handling confidential or sensitive information.
  • High degree of autonomy, initiative, and problem-solving skills in day-to-day operations.
  • Good interpersonal and communication skills to liaise with team members, external stakeholders, and visiting experts.
  • Ability to perform translation and interpretation tasks with accuracy and cultural sensitivity.
  • Proficiency in Microsoft Office applications (Word, Excel, Outlook) and basic IT troubleshooting for office equipment.
  • Comfortable working in a multicultural environment and under pressure to meet deadlines.

Location: Ethiopia
Duration: The assignment will begin from the date of contract signature and will last for a period of 12 months. Extensions may be possible subject to project requirements and agreement of all parties.
