Org. Setting and Reporting
This When Actually Employed (WAE) position is located in the Meetings Support Section which forms part of the Meetings and Publishing Division of the Department for General Assembly and Conference Management (DGACM). The Desktop Publishing Assistant reports to the Project Manager of the Digitization Project.
Responsibilities
Within limits of delegated authority, the Desktop Publishing Assistant will be responsible for the following duties: – Performs quality control of all digitized Russian language files and related metadata to ensure accuracy and completeness, both before and after ingestion into the content management system, ensuring that the final version conforms to UN style and typographic standards. – Using appropriate desktop publishing software, (a) applies standard metadata entry rules in accordance with DGACM policies and procedures (titles, dates, descriptions, subjects, speakers, intergovernmental body, personal names, legacy technical metadata) , and (b) researches, compiles and consults primary and secondary sources of information (editorial, terminology, reference, etc.) in cases where items have little to no information. – Checks files out and into the publishing system database and ensures that outgoing documents are submitted correctly in the respective language. – Performs other related work as required.

Education
High school diploma or equivalent required. University level courses and/or formal training/courses in desktop publishing, graphic art, design, multimedia or related field is desirable.

Work Experience
A minimum of five (5) years of experience organizing and researching documentation for reference and/or filing purposes is required. Experience working with the United Nations Official Documents System (ODS) and the United Nations Digital Library is desirable. Working knowledge of Adobe Acrobat DC and Adobe InDesign is desirable.
Languages
English and French are the working languages of the United Nations Secretariat. For this position, fluency in both English and Russian is required.
Assessment
Evaluation of qualified candidates may include an assessment exercise, which may be followed by competency-based interview.
Special Notice
This position is on a When Actually Employed (WAE) basis. The duration of need for this temporary job opening is for an initial period of three months, with a possibility of extension. The maximum number of days that may be worked in the six-month period should not exceed four and one half months and will be intermittent in nature. Selected candidates must ensure that they will be available at short notice for work assignments. Candidates should have no expectation of any fixed term appointment possibility after the end of this temporary assignment. Staff members are subject to the authority of the Secretary-General and to assignment by him or her. In this context, all staff are expected to move periodically to new functions in their careers in accordance with established rules and procedures. While this temporary assignment may provide the successful applicant with an opportunity to gain new work experience, the selection for this position is for a limited period and has no bearing on the future incumbency of the post. Subject to the funding source of the position, the eligibility for this temporary job opening may be limited to candidates based at the duty station. Staff members of the United Nations common system organizations who will reach the mandatory age of separation or retirement within the duration of the current temporary need period are not eligible to apply. Submitting an application or selection for the current temporary job opening does not delay or increase the mandatory age of separation. Retirees above the mandatory age of separation who wish to be considered for the current temporary job opening must indicate the reason for their last separation as “retirement.” Such retirees shall not be employed by the Organization, unless (a) the operational requirements of the Organization cannot be met by staff members who are qualified and available to perform the required functions; and (b) the proposed employment would not adversely affect the career development or redeployment opportunities of other staff members and represents both a cost-effective and operationally sound solution to meet the needs of the service. This position is subject to local recruitment pursuant to staff rule 4.4 of the United Nations Staff Rules. All staff in the General Service and related categories shall be recruited in the country or within commuting distance of each office, irrespective of their nationality and of the length of time they may have been in the country. A staff member subject to local recruitment shall not be eligible for the allowances or benefits exclusively applicable to international recruitment. Selected candidates/staff members will be responsible for any costs related to their travel and relocation in the context of onboarding to report for duty. If the selected candidate/staff member does not already have the right to work in the duty station, appointment is contingent on issuance of a visa from the local authorities.
