Job Description Summary

Reporting to the Chair of the Bioengineering (BE) department, provide high-level administrative support to the Chair and manage all aspects of the department. Supervise BE staff; ensure appropriate levels of staff support for department faculty projects, programs, events, and student services.
Coordinate the academic workflow of the BE department. Assist undergraduate and graduate chairs, and respective staff, in department academic programs. As needed, interact and assist with student groups and student support services, such as tutoring, career services, Penn admissions.
Oversee the new faculty hiring process, including: scheduling and coordinating visits, ensuring compliance, managing online process. Handle all faculty promotion cases, including reappointment, tenure, promotion to full professor, senior lecturer, practice faculty, part-time lecturers, adjuncts, annual lecturer reappointments and secondary reappointments. Follow up on all faculty meeting agenda items.

Job Responsibilities

  • Use independent judgment to support the Chair’s management of all aspects of the Bioengineering department. Compose correspondence. Serve as the Chair’s liaison to faculty, staff, and students, as needed. Manage publicity for the department: oversee the development of content, publication, distribution of communications materials, website/social media platforms, and the department seminar series.  Provide information and resources to faculty, staff, students, and others on policies/procedures. Collaborate with Chair to develop project goals and timelines; ensure project completion. Coordinate facilities work in BE buildings.

  • Manage BE Staff, including recruiting, evaluating, mentoring staff, and setting short term and long-term goals. Conduct regular staff meetings; delegate and distribute work from faculty among BE staff. Plan for and manage projects.

  • Provide administrative support to the Chair, including managing travel arrangements; prepare and submit reports and reimbursement requests. Manage Chair’s complex calendar, coordinating multi-person meetings, using a priority system to identify and resolve potential schedule conflicts, ensuring all materials and documentation are prepared and up to date, and that Chair is informed of all agenda items.

  • Ensure proper staffing for graduate group and undergraduate chairs. Assist undergraduate and graduate program faculty and staff in developing events and plans to meet current needs. Interact with student support services such as tutoring, career services, and Penn admissions, as needed. Interact with student groups and assist, as needed. Proactively work with faculty to identify, complete, and implement staff projects/department activities; plan events and manage deadlines (e.g. annual picnic, graduate research symposium, workshops, conferences).

  • Manage department faculty affairs for standing faculty, research and practice faculty, lecturers, and secondary faculty, including planning for and overseeing appointments, reappointments, tenure, promotions. Oversee collection of submission materials; draft and send correspondence; process appointments. Manage electronic files and email listservs for faculty.  Address faculty concerns and escalate to Chair as needed.

  • Support monthly faculty meetings throughout the academic year: Solicit agenda items, create agenda, attend meetings, take and distribute minutes.  Follow up on agenda items to ensure completion/ resolution, communicating with faculty, as needed. Keep Chair informed if issues arise.

  • Manage faculty recruitment process. Place ads and maintain search website. Coordinate candidate visits, including travel plans, interview schedules, itineraries, accommodations, and promotional materials. Organize and distribute dossiers to committee members.  Manage online process, ensuring policies and procedures are followed; and all materials are submitted. Prepare for the faculty candidate check-in and have promotion materials prepared. Collect follow-up feedback, prepare hiring paperwork.

Qualifications

Bachelor’s degree and 3 to 5 years of related experience or an equivalent combination of education and experience. High level of initiative, independent judgment, and organizational savvy. Ability to prioritize conflicting needs and make reasonable decisions in the absence of direction. Excellent verbal and written communication skills. Commitment to continuous improvemen.t Prior experience coordinating events for diverse and distinguished guests is preferred. Must be proficient in Microsoft Office. Previous experience with social media platforms helpful.
