Job Overview
The Director of Administrative Operations serves as the chief administrative officer for Georgetown University College of Arts & Sciences. The College is the largest academic school at the university, with 26 academic departments, 14 interdisciplinary programs, and numerous initiatives and other units, all with the goal of advancing the College’s dual research and teaching mission.
The Director plays a critical role in ensuring the efficient and effective running of administrative business operations of these units within the College. They serve as subject matter expert on the typical and core administrative functions that are executed by the 75+ administrative professionals embedded within the College’s units; and acts as chief consultant to these administrative professionals. Furthermore, the Director leads the College’s Shared Administrative Operations (SAO) team, which provides administrative support to units without a designated administrative staff member, and provides back-up to units when normal administrative support is unavailable (due to vacancies, absences, etc.).
Work Interactions and Work Mode Designation
With a dual reporting line, to both the College’s Chief of Staff and to the Senior Associate Dean of Finance & Administration, the Director of Administrative Operations serves as supervisor to the members of the SAO team, and may also, if needed, supervise student staff.
They are expected to work closely with the function area leads for the various components of the administrative operations of the College’s academic units, for example – the College’s Senior Director for Financial Operations and members of the Financial Operations team; the College’s Director of HCM Planning & Operations and members of the HCM Analyst team; colleagues in the Office of the University Registrar (OUR); colleagues in various OCFO partner offices (e.g., Accounts Payable, Procurement, Accounting); colleagues in the Student Employment Office (SEO); staff working on graduate student matters in the Graduate Schools of Arts & Sciences; colleagues within the College’s and the University’s communications teams; colleagues from University Information Systems (UIS); and various members of the Planning & Facilities Management (PFM) office.
Building and fostering these relationships is essential to achieving success in the Director role, as their work is inherently collaborative between many different partner offices across the university. Furthermore, the Director maintains relationships with the administrative professionals across the College, and their respective managers; and provides guidance and feedback to the administrative professional population in the College on the core administrative functions of their roles, and works with the managers of these staff members in regards to performance management matters.
