Summary
The Director, Student Life & Event Planning is responsible for taking the lead on implementing Law School events on and off campus, coordinating all student engagement strategies, successfully organizing and developing and maintaining relationships with students, coordinating all aspects of student organizations and identifying and promoting opportunities for students and graduates.
Essential Functions
Student Life Affairs and Engagement
- Serve as the primary point of contact for engagement efforts by cultivating student and alumni contacts through attendance at student organization events, student appointments, monthly community service events, and other activities.
- Coordinate, manage, and execute lead events involving outside stakeholders, law school organizations, alumni, faculty and students. Primary manager for all events done internally or externally for the Dean of the School of Law.
- Direct student life and student organizations to develop and implement career path and professional programs that support students and alumni with career planning and job-search efforts. Programs will include informational sessions, panel discussions including practitioners, and interactive workshops regarding private and public sector jobs and non-traditional jobs.
- Direct Student Life and assist Career Services events such as the planning and implementation of Barristers Ball and other assigned events.
- Take lead on developing and implementing the department’s engagement strategies.
- Assist Director with creating advertising materials and directing communication efforts to students and alumni.
- Develop a database of student information and interactions to better promote and connect students and alumni to opportunities.
- Take the lead of seeking Professionalism Hour Approval and assists with reviewing Event Action Forms.
- Perform other functions as assigned
Event Planning
- Meet with the department head and/or organization to determine goals and needs for the event.
- Develop/manage event budget.
- Establish a timeline for the event and assign duties to responsible organizations as needed.
- Determine a list of invitees, design an invitation, and ensure that invitation is distributed in a timely fashion.
- Reserve venue, determine the menu, create room set-up plan for maintenance.
- Design/order/create decoration(s) for event.
- Purchasing/Budgeting for all Institutional Advancement needs including but not limited to: printing, postage, lists, etc. for various mailings; catering/event supplies, vendors, etc.; awards, gifts, and other recognition items; and VIP arrangements.
Manage Career Service Management System 12Twenty, Career Service Employer Website, and Social Media Outlets
- Manage daily functions of the Career Service Management System 12Twenty.
- Serve as a point of contact with 12Twenty.
- Promote 12Twenty to students, graduates, and employers, as a resource.
- Assist with the engagement efforts of all social media and project management outlets such as Facebook, Instagram, Trello, and LinkedIn.
- Supervise providing content, daily engagement with followers, and reviewing the department’s Facebook, Instagram, and LinkedIn social media accounts. Includes the approval and management of Facebook postings in each of the Class pages.
- Develop a database of student information and interactions to better promote and connect students and alumni to opportunities.
- Develop on campus networking events with the aim to expose students to members of the legal community and nontraditional JD Preferred employers.
Statistical Reporting
- Assist the Director with maintaining the integrity of information for the online database as needed.
- Conduct statistical analysis regarding all Career Services and Student Life efforts to evaluate and plan future goals and programming.
- Assist with processing at-graduation and 9-month post-graduation surveys.
- Reporting accomplishments and achievements of the department to different boards and reports.
Coordinate, manage and execute events involving student and co-curricular organizations. Primary manager for all events done internally or externally that relate to the Law School.
- Meet with student organization president or e-board members to determine goals and needs for various events throughout the year.
- Determine a list of invitees, design invitation and ensure that invitation is distributed in a timely fashion.
Coordinate third party use of law school facilities
- Determine in coordination with the dean if the proposed use is consistent with the mission of the law school and/or the university.
- Allocate/coordinate the required resources (place, time, set-up, etc.).
- Ensure that third-party users have sufficient liability insurance.
- Determine and collect fees to be paid to law school for use of the premises.
- Attend and promote future job fairs associated with the department, Increase yearly student participation in these events.
- Participate in community and professional associations and regularly attend meetings.
- • Develop, promote, and organize monthly off-campus community service events including community service opportunities that allow students to network with members of the legal community.
Perform other related duties as assigned or required
Qualifications/Requirements
- Graduation from an accredited college or university with a Bachelor’s degree, preferably in Legal Studies, Marketing, or related field.
- Three (3) to five (5) years of work-related experience.
- Ability to analyze economic and job markets, notice changes, anticipate changes, and relay that information to students.
- Possession of a high level of project and process management skills; very detailed planning required for short and long-term projects, often working with several staff members.
- Strong oral and written communication skills over a variety of media with students, alumni, staff, faculty, lawyers, judges, employers, and the general public.
