About the roleBalfour Beatty Rail has an exciting opportunity for a Document Controller to join our growing team in Pontypridd.Role Purpose

  • To manage and control all project document flow to ensure accurate registration, revision, resubmission and storage of all project documentation, and accurate liaison with site team, design team, subcontractors, customers, external suppliers and work winning staff; QA checking documents prior to submission; Archiving of project documentation following project close-out.
  • To provide subject matter expertise and coaching on the use of documentation control systems to relevant teams and subcontractors.
  • To help finalizing persuasive proposals in support of winning new business, including information and document compilation and best practice capture. To assist the bid team and Proposals Manager by co-ordinating documents through a structured review process.

What you’ll be doingAs a Document Controller, you will have the following accountabilities:

  • Managing the requirements for document control on the project to ensure implementation and compliance to standards established within the Business Management System (BMS);
  • Identifying contractual requirements in relation to document control.
  • Ensuring accurate control of documentation from pre-construction through to completion and archiving.
  • Liaising with project teams to ensure they have a full understanding of document control and system procedures and provide training and instruction as required such that documentation control requirements are met.
  • Ensuring that procedures are fully implemented to meet requirements of the BMS and other documentation and information systems.
  • Managing business archiving such that all documentation is stored efficiently and can always be accessed and referenced.
  • Working to continuously improve and enhance procedures and systems utilised for document control.
  • Providing feedback such that design and project managers are fully aware of all documentation issues.
  • Understanding and carrying out the role specific requirements of the Business Management System and help to identify opportunities for improvement.
  • Implementation and understanding of ISO19650.
  • Supporting in compilation of H&S files.
  • Gather, collate, and write material to meet the requirements for pre-qualification and tender submissions.
  • Work to a programme of deliverables to meet tender requirements.
  • Maintain regular communication with the work winning team.
  • Keep up to date with project-specific case studies and value reports.
  • Produces bespoke material to support business development and account management activities.
  • Research and write supporting information for use in proposals, including case studies, CVs, project best practice and project innovations.
  • Proactively engage in knowledge management systems, capturing and submitting evidence for use in future bids.
