Driver/ Fleet Assistant (INT10453)

Oxfam is a global movement of people working together to end the injustice of poverty.

In March 2022, Oxfam launched its response to the influx of refugees and other people forced to flee from Ukraine in Romania, Moldova and Poland. A Programme Management Unit (PMU) has been established to provide leadership, oversee, support and provide technical assistance to the response in the affected countries.

The PMU will be led by an Operational Lead and includes dedicated advocacy and influencing capacity; business support functions, and a programme quality team with technical support on gender in emergencies, protection, cash and voucher programming, monitoring, evaluation, accountability and learning (MEAL), and safeguarding.

Poland / Romania / Moldova Programmes.

Oxfam is supporting a partner-led humanitarian response for the assistance and protection of refugees and other vulnerable people from Ukraine and the communities, organisations and authorities that are hosting and supporting them in neighbouring countries. The response is strongly driven by the protection needs of refugees and the need for national organisations and authorities to be supporting in scaling up for the refugee response, delivering quality protection support, as well as advocacy for the rights and protection of all refugees and people on the move needing protection.

TEAM PURPOSE:
To act with poor people as a force for change in addressing the causes of poverty, suffering and injustice and alleviating their symptoms.
Assist in ensuring a perfect logistics process according to Oxfam policies and procedures and process the relevant reports.
JOB PURPOSE:
To secure a perfect Logistics process according to Oxfam policies and procedures and address the properly related reports.
Answer the fleet management requests in the best manner within the appropriate timeline according to Oxfam regulations.
Maintain good relationships with internal and external stakeholders by following Oxfam values.

DIMENSIONS OF THE ROLE
o Carry out tasks within guidelines laid down by managers/supervisors.
o Tasks are usually routine but will require the use of initiative and/or basic planning.
o Responsible for the proper use of equipment by others, with due regard to health & safety standards and guidelines
o Required to gather and give information to supervisors and managers. o Contribute to improvements in processes.

KEY RESPONSIBILITIES
o Responsible person for vehicle

o Fleet management – ensure regular servicing, logbooks, fuel consumption. Daily and weekly checks of vehicles to ensure that it is always in good travelling condition: refuelled, tires in good condition; breaks, seatbelts, lights, etc are working
o Ensure the movement planning tracker is shared with the team at the end of each week, for planning of upcoming trips
o Monitors and records vehicles use and fuel consumption
o In coordination with Logistics Officer, organizes and plans the fleet maintenance – services and notifies the rental company of any mechanical problems and needs
o Keeps track of all vehicle movements using a paper Logbook, and electronic logbook when applicable
o Ensure that fuel transactions and km/miles are entered in electronic logbook/fuel tracking on time and accurately; the reports are submitted to Logistics Officer on a monthly basis
o Support in all matters related to transportation of staff to the field/ destination required
o Support by unloading and loading of the car
o Assist as Translator for passengers whenever needed
o To ensure Health and Safety and driving regulations are maintained
o To observe all local and Oxfam Travel regulations (Driving Guidelines) and to take full responsibility for ensuring that all passengers observe the rules and regulations relating to travel and vehicles. (e.g., use of safety belts, non-smoking policy, etc)
o Perform any other tasks as assigned by the line manager
