The World Bank’s office in Vanuatu includes four full time staff, contract staff and a country officer for the International Finance corporation (IFC). World Bank and IFC staff and consultants from other World Bank offices travel to Vanuatu to provide support to the World Bank portfolio and engagement. The Country Representative oversees both Solomon Islands and Vanuatu, and frequently visits Vanuatu.

The World Banks active and pipeline projects in Vanuatu includes a broad range of investments focused on transport infrastructure, renewable energy, disaster risk management and urban resilience.

The Word Bank office in Vanuatu is seeking a dynamic candidate to join the team. The selected candidate will support the World Bank Liaison Officer and the Country Officer for IFC who are based in the Port Vila Liaison Office in Vanuatu. S/he will also provide administrative assistance to various World Banks project task teams and report to the Country Resident Representative.

Specifically, he/she will be responsible for:

General World Bank Office Support

Manage invoice payments for World Bank vendors and maintain office accounting files.
Manage the office expenses – manage clearances for courier packages.
Maintain stationary supplies – Manage incoming and outgoing mail.
Manage Program Filing systems – Maintain newspaper files – Organize and coordinate meeting schedules – Provide logistical planning and support for events, conferences, and workshops.
Provide general administration and operational support to various program task teams.
Attend Country Management Unit and Country Team meetings and support on follow ups.
Coordinate VAT submissions to Vanuatu Internal Revenue for refunds (when registered)
Provide back-up support for the Program Assistant
Assist with travel arrangements, including coordinating with Amex on bookings, with Sydney travel staff on trip requests, and RM on travel reimbursements.
Other tasks as required by the Liaison Officer and the IFC Country Officer

Reporting

The Administration Support Officer will report to the Liaison Officer and the Country Representative for the World Bank Vanuatu Liaison Office.

Selection Criteria

1.Minimum Secondary School Certificate or other relevant short course certificates;
2.Minimum of 5 years experience in supporting administrative work with basic financial background;
3.Demonstrated proactivity and management role;
4.Demonstrated ability to facilitate logical support in the Vanuatu context;
5.Fluent in Bislama, English with basic French as optional medium of communication

If an ET appointment ends before a full year, it is considered as a full year toward the lifetime maximum. Former and current ET staff who have completed all or any portion of their third-year ET appointment are not eligible for future ET appointments.
