Regional Context

The World Bank Group serves 30 client countries in the Latin America and the Caribbean Region (LCR). Clients range from large rapidly growing sophisticated middle-income clients to IDA countries to small Caribbean states to one fragile state. Despite immense resources, deep inequalities persist in most LCR countries, with nearly a quarter of the Region’s people living in poverty. The Bank’s strategy in LCR is focused on five pillars: (a) stimulating growth and improving competitiveness; (b) reducing poverty and inequality; (c) making governments and institutions work for people; (d) providing a platform for tackling global issues (climate change, trade, disease, migration); and (e) reducing risk, whether from extreme weather events, climate change, crime and violence, or other. During the ongoing COVID-19 crisis, LCRs strategy is being adjusted to help counties respond to unprecedented health and economic crisis by saving lives; protecting poor and vulnerable people; ensuring sustainable business growth and job creation; and strengthening policies, institutions, and investments. The Bank will support countries in pursuing a green, inclusive, and resilient recovery.

CMU and Country Office Context

The Caribbean Country Management Unit (CMU) covers 19 countries, with a total population of about 18 million people, ranging from Sint Maarten (40,000) to Haiti (11 million). The CMU and key staff, including the Country Director and Operations Manager, are based in Kingston, Jamaica.
The WBG program in Guyana is coordinated by an office in Georgetown, Guyana. In addition to coordinating the WB Program in Guyana, the office also covers the WB program in Suriname.
The World Bank Office in Georgetown, Guyana is seeking a highly organized and energized team player, capable of operating effectively and discreetly in a very demanding and culturally diverse environment. The successful candidate will a part of the Administrative and Client Support (ACS) team and will work closely with the ACS team in the Guyana office. Under the leadership of the Resident Representative based in the Guyana Office s/he will provide a full range of reception and logistical services in the implementation of the Banks work program in Guyana. He/She should be a team player who is adaptable to changing business needs and capable of contributing to the teams effectiveness and success. In addition, he/she should be dynamic and resourceful with excellent organizational skills, have a proactive approach and pay strong attention to details.

Role & Responsibilities:

Reception:

– Greet, assist, and announce clients, vendors, and others in the office.

– Provide appropriate responses and directs visitors to appropriate individuals.

– Responsible for managing the offices switchboard: take accurate and comprehensive telephone messages, dispatch incoming correspondences, route internal and external queries on the assigned portfolio to the appropriate Bank officer, respond to routine telephone inquiries using knowledge of work program and staff schedules.

General Office Support:

– Mail and courier services: prepare and manage office diplomatic pouch; processes incoming and outgoing mail.

– Prepare copies of documents, draft notes etc.

– Responsible for the scheduling of video conference and meeting rooms administration.

– Maintain Country Office contacts database, directory and staff lists for Guyana and Suriname contacts.

– Assist in the preparation for conferences, workshops, meetings, video conference participants and visiting missions.

– Assist with the maintenance of the offices filing system, ensuring that appropriate documentation is stored in line with WBs standards.

– Assist with the compilation of invoice, receipts and drafting of VAT refunds request.

– Assist in the solicitation of quotations as per COs procurement requirements.

– Assist in following up with vendors ensuring submission of receipts upon issuance of wire transfers.

Visiting Missions Support:

– Provide logistical support for visiting missions travelling to Guyana and Suriname.

– Assist with the coordination of airport transportation and security escorts arrangements for visiting missions.

In conjunction with and under guidance from staff in a specific discipline (i.e., Office Management,

– Operations, etc.) monitor specific activities, within their teams or clusters.

– Performs and other duties that may be assign.

Selection Criteria

* A High-School diploma is required and Bachelors-level degree preferred;

* At least 2 years direct relevant office support experience preferably in a large international or multinational or corporate or public service organization;

* Written and verbal communication skills in English.

* Proficiency in using advanced computer applications (Microsoft Office and others).

* Ability to produce high-quality work under pressure.

* Ability to work effectively in a team-oriented and multi-cultural environment.

* Effective time management skills.

* Very good oral and written communication skills in English. Good listening comprehension and fluency in speaking is required.
