Page Personnel is recruiting a brilliant EA role to support a CFO and Head of Legal for a large division of an international distribution company.You will report to the VP Legal and VP CFO.You will work closely with the International Finance Team and International Legal Team all of which are working across multiple time zones and within a matrix organisation. The role will communicate at Executive level on a regular basis.The role will be integral to ensuring that meetings take place at a time that is suitable for all attendees, and that the time zone is taken into consideration.You will have access to highly confidential information, will navigate the nuances of working in a matrix organisation, understanding complex hierarchy and ensure confidential information is shared appropriatelyCalendar Management: Extensive diary support to VP Legal and VP CFO, including managing conflicting deadlines and fast changing priorities.Communication Management: Manage complex mailboxes to ensure VP’s are aware of emerging matters and changing priorities. As well as providing overviews and informative notes on meetings.Meeting Coordination: Assist in organising and coordinating meetings, including preparing agendas, and arranging meeting logistics to ensure smooth and productive meetings. Taking actions and following up on actionable items as required.Travel Arrangements: Manage all aspects of international travel, including booking flights, accommodations, and transportation. Research and recommend travel options, maintain travel itineraries, and ensure all necessary travel documents are in order.Documentation Management: Organise and arrange the signing of legal and Board documentation, across varying countries to meet strict deadlines. Including working closely with the Entity Management Team to ensure Board documentation is processed efficiently.Relationship Management: Work autonomously as well as integrate within teams, with a proactive and solution focused attitude, to help the flow of communication by building and maintaining relationships with key stakeholders in varying locations, such as EA’s and Leaders across the global enterprise.Miscellaneous Tasks: Handle ad hoc tasks and responsibilities as they arise, including managing invoices and raising PO’s, management of team absence and attendance, ensuring annual renewals of SRA and other key licenses are maintained, event planning and coordination and administrative support.2-3 days in the office|Lots of longer term career progression

  • You will have worked for a law firm, or supported an in house legal team and have a good understanding of legal terminology
  • Ideally you will have worked for a large global company
  • Significant experience in managing the preparation of and signing of legal documentation and board documentation
  • Strong oral and written communicator with excellent interpersonal skills and the ability to adapt communication style to diverse audiences both in the UK and internationally
  • Excellent organisational skills developed within a fast-paced environment and significant experience in diary management including complex travel arrangements
  • Highly proficient in Microsoft Office
  • Ability to work effectively both independently and collaboratively and flexibly with others within a dynamic team, often to short deadlines and to achieve common goals
  • Strong ability to prioritise and influence
  • High attention to detail
  • Ability to maintain high levels of confidentiality, discretion and diplomacy at all time

They offer really opportunity for career development. the current EA has been in her role for 6 years, grown it massively and is now moving into a strategy role in the business. The company is really fast paced, but they look after people. They have excellent agile working with you being in the office 2-3 days a week, 3 days certainly to start with.£50,000 – £55,000 (depending on the candidate) plus benefits, 2- 3 days a week in the office, 3 certainly to start with.
