Department Description

The Health Professions Education Coordinator (HPEC) position is tasked with coordinating and organizing the activities and clerkships for the medical student program and assisting with program coordination and yearly conferences, activities and events for the Residency and Fellowship Programs under the direction and guidance of the Educational Programs Manager.

The Department of Radiation Oncology is responsible for patient care, teaching, research, and public/community service in the field of Radiation Oncology. The clinical practice sites are located at Parnassus, Mt. Zion and Mission Bay.

The Department of Radiation Oncology Educational Programs  is structured across three sites and consists of the ACGME Radiation Oncology Residency Training Program, a four-year accredited (ACGME) residency training program that educates and prepares future Radiation Oncologists; Non ACGME Clinical Fellowship training programs that provide specific specialized training for physicians who have completed their ACGME Radiation Oncology Residency Training Program; Physics Residency Training Program, a two-year CAMPEP accredited training program designed to prepare residents toward a career in clinical medical physics with an emphasis on a strong academic vocation; Visiting Resident Program; Undergraduate Medical Education clinical and research clerkships and CME Courses for residency related training programs. 

The Educational Health Professional Educations Specialist 2 is responsible for providing general administrative support to the Educational Programs Manager in support of the Educational Program activities as well as any additional duties assigned as needed. Under the supervision of the Education Programs Manager, the individual will support the administrative needs of the Department’s educational programs including creating and maintaining filing systems and computer databases; schedule events and meetings; create and maintain systems for tracking compliance for various program requirements; assist with tracking compliance for various program requirements; order and schedule catering and conference room space for program meetings and events; upload, submit and track payment requests for programs; proof read documents for accuracy; edit documents; create reports related to various program activities and compliance requirements; support the Program Manager with preparations for major projects and events including accreditation assessments, program surveys, appointments, orientation, recruitment, graduation, meetings and conferences; review, track and approve expense reports in My Expense.

Required Qualifications

  • Bachelor’s degree in related area and / or equivalent experience / training
  • Knowledge of educational technology and systems. Ability to troubleshoot and triages related technology issues.
  • Basic knowledge of relevant policies and regulatory requirements. Basic knowledge of health professions education industry.
  • Basic knowledge of administrative analysis and operations research. Acquiring skills in developing and implementing processes and systems. Familiarity with the administrative and operational implications in a program.
  • Communication skills; includes verbal, written and active listening. Service oriented and responsive to questions and requests. Ability to interact in a professional, resourceful, and courteous manner.
  • Demonstrated interpersonal skills. Demonstrated ability to develop working relationships within department and with learners.
  • Excellent organizational skills, analytical, and demonstrated attention to detail and follow through and ability to successfully work in a fast paced environment with competing projects. Ability to work with extremely complex calendars / schedules requires extremely well organized and detail oriented precision.
  • Investigative, data analysis, and reporting skills. Ability to generate computer reports, checking for errors, correcting and submitting accurate reports. Skills include entering, maintaining, extracting, and analyzing data in electronic systems.
  • Demonstrated reliability and punctuality.
  • Ability to handle confidential projects with discretion and professionalism. Ability to maintain confidentiality with sensitive information.
  • Technology skills; includes working knowledge of Microsoft Office software (Excel, Word, PowerPoint, Outlook), Zoom, and Qualtrics.
  • Proficient in numbers, including the ability to perform rudimentary calculations
