JOB SUMMARY
The Deployment Coordinator plays a crucial role in arranging the logistics and security permits for MedGlobal EMT (Emergency Medical Teams) that are being deployed to Gaza in rotations. This position requires meticulous planning, strong organizational skills, and the ability to navigate complex logistical and ensuring compliance with security protocols to facilitate successful rotations of EMT.
MAIN DUTIES AND RESPONSIBILITIES
Logistics Coordination:
- Organize and coordinate all logistical aspects of deploying MedGlobal EMT teams to Gaza.
- Make sure to confirm a driver for each team (from Cairo to Rafah and to Rafah to Cairo). This information MUST be provided 2 weeks prior to the entrance date to be shared to WHO contact person.
- Get volunteers’ flight information and display the information on an excel sheet
- Make sure each volunteer is being picked up at the airport based on their arrival times
- Work with local hotels to get volunteers a hotel reservation and provide this information to the Volunteer Coordinator in advance (before volunteers’ travel).
- Procure medical supplies for each RMM based on supplies needed.
- Make sure volunteers has the Garmin app and Airalo app downloaded before they cross into Gaza
- Make sure volunteers pair their Garmin app with their phones before they cross into Gaza
- Monitor the Garmin platform daily when volunteers are in Gaza
- Liaise with transportation providers to arrange flights, ground transportation, accommodations, and supplies for EMT traveling to Gaza, and any other necessary logistical support.
- Developing and implementing protocols for emergency response and crisis management during deployments.
- Ensure timely and cost-effective deployment solutions.
- Do a table with luggage being carried by each volunteer – this needs to be provided to the WHO contact person.
- Do a table with all items carried by each volunteer; also keep up a master list to add supplies being procured in Cairo. Both lists need to be provided to the WHO contact person.
- Translate volunteer itemized supplies list and supplies master list into Arabic.
- Communicate with UNOCHA to make sure the MedGlobal EMT team is included in the UN convoys.
- Communicate with UNOCHA to be updated on timing or other details for crossing day.
- Filled out the ASU UNDSS Form
Permit Acquisition:
- Communicate with WHO contact person to provide information of upcoming EMT teams. This includes but not limited to:
- Cover Letter
- Volunteers CV, passport, medical license
- Drivers information
- Crossing dates (entrance and exit)
- Itemized list of supplies
- Luggage information per volunteer
- ASU UNDSS Form
- Send volunteers information to Gaza Country Representative for proper approvals on the ground:
- Volunteers CV, passport, medical license, and headshot photo
- cc Gaza WHO liaison on this email
- Work closely with relevant authorities to obtain necessary permits for the deployment of MedGlobal EMT teams to Gaza.
- Stay updated on permit requirements and changes in regulations to ensure compliance.
- Prepare and submit required documentation for permit applications.
Security Compliance:
- Make sure volunteers attend the security briefings provided by WHO and UN the day before crossing.
- Brief volunteers on current security situations on the ground and tell them action items and protocols to follow while on the ground.
- Collaborate with security personnel to develop and implement security protocols for EMT team deployments.
- Ensure that all team members are briefed on security measures and adhere to established guidelines.
- Ensuring compliance with local regulations and international standards for humanitarian deployments.
- Monitor security situations in the deployment area and adjust plans accordingly.
- Team Communication:
- Serve as the primary point of contact for EMT team members regarding deployment logistics and security arrangements.
- Maintaining clear and effective communication with EMT teams, local partners, and relevant stakeholders.
- Provide clear and timely communication regarding travel itineraries, permit status, and security updates.
- Address any concerns or issues raised by team members during the deployment process.
- Documentation and Reporting:
- Maintain accurate records of all deployment-related documentation, including permits, travel arrangements, and security briefings.
- Generate regular reports on deployment logistics, permit status, and security compliance for internal and external stakeholders.
- Fill the forms that are related to the EMT movements, coordinates and share it with the responsible authorities.
- Emergency Response:
- Develop contingency plans and procedures for emergency situations during deployments.
- Coordinate with relevant authorities and stakeholders in the event of unforeseen challenges or emergencies.
- Others:
- Any other activity related to deployment of volunteers from Egypt into Gaza.
- QUALIFICATIONS AND SKILLS
- Bachelor’s degree in a relevant field (logistics, international relations, etc.).
- Proven 4 years of experience in logistics coordination and permit acquisition, preferably in the context of international humanitarian missions.
- Familiarity with security protocols and procedures.
- Excellent organizational and communication skills.
- Ability to work under pressure and adapt to changing circumstances.
- Proficient in relevant software and communication tools.
- Proficiency in English, Arabic is an asset .
