2) About the Role
The Junior Membership & Operations Officer will assist in delivering ESN’s membership strategy and in coordinating events and activities involving ESN’s members. They will collaborate closely with the Communications and Policy teams to ensure updates about members and their development are accurately recorded in ESN’s Customer Relationship Management (CRM) system.
The Junior Officer will play a key role in facilitating contact with members, addressing their queries, and ensuring a smooth onboarding process for new organisations joining the network.
3) Key Responsibilities
General responsibilities:
- Assist in implementing the multi-annual Membership Strategy;
- Actively oversee the engagement and communication with ESN members;
- Support the planning, implementation, and promotion of ESN events and activities together with colleagues from other teams to ensure their smooth delivery;
- Contribute to ESN’s financial sustainability by supporting membership development and retention efforts.
Membership Engagement:
- Execute ESN’s membership strategy, focusing on recruitment, retention, and active engagement;
- Help develop methods to map members’ expertise and knowledge effectively;
- Facilitate regular contact with members, encouraging their active participation in ESN’s activities;
- Monitor and evaluate members’ involvement in ESN initiatives;
- Ensure meaningful induction process and promote engagement of new members;
- Manage membership administration, including membership applications and fee payments;
- Collaborate with the Communications team to create promotional materials and newsletters for members.
Membership Development:
- Identify and propose opportunities to expand ESN’s membership base;
- Support the activities aimed to outreach new potential members;
- Assist in to prospection meetings with potential member organisations.
Operations:
- Organise activities and events with or for members, including budgeting, ensuring payments and reimbursements, and keeping accurate records;
- Maintain and regularly update ESN’s Customer Relationship Management (CRM) system;
- Collaborate with colleagues to coordinate self-funded events such as the European Social Services Conference and the European Social Services Awards, supporting member participation, managing contracts, ensuring payments, and keeping records up to date;
- Collect and process invoices, including receiving, registering, and storing them, as well as keeping payment registers up to date;
- Assist in enhancing and implementing internal processes to improve efficiency and effectiveness.

4) Qualifications
This dynamic role requires excellent organisational and communications skills. Candidates should have:
- A university degree in International Relations, Public Relations, EU Social Policy, Communication, or related experience;
- 1-2 years of experience working with a membership organisation (desirable);
- Awareness of social policy, health policy, social work, or EU policymaking, with knowledge of social service systems;
- Experience working with customer relationship management (CRM) systems (e.g., Salesforce, HubSpot) and an understanding of how databases can support the development of a membership organisation;
- Project management experience, including coordination, budget management, implementation, and reporting;
- An innovative, entrepreneurial, and open-minded approach to membership engagement and communication;
- Business development experience or interest (desirable);
- Ability to identify risks in project/event implementation and good problem-solving skills to ensure timely delivery within budget;
- Adaptability to diverse work approaches, settings, and languages, combined with cultural and political sensitivity when working with colleagues, members, partners, and external stakeholders;
- Near-native written and oral proficiency in English, with fluency in at least one other European language.
