Description:
UIC is seeking a Events Administrator Associate
(Director of Events) to join our Vice Chancellor for
Advancement team. This role will be reporting to the
Assistant Vice Chancellor for Alumni and Donor Engagement, the
Director of Events must be an energetic, positive,
detail-orientated, articulate, self-starter whose primary
responsibility is the development and management of alumni and
donor events for the Office of the Vice Chancellor of Advancement
(OVCA). The Director of Events oversees, executes and delivers a
high level of excellence for campus wide, regional and unit-based
alumni and donor events and functions. As a key partner on the
central team, the Director of Events is charged with planning,
collaborating and managing outstanding special events to ensure
alumni and donor engagement strategies are achieved through event
participation. As Chicago’s largest and most diverse university,
UIC is comprised of alumni and donors from a variety of racial,
ethnic, and class backgrounds, gender identities, sexual
orientations, and abilities.
Duties & Responsibilities:
- In collaboration with the appropriate advancement colleagues,
direct strategic project planning, creative direction, logistical
support, customer service, and execution of all approved
advancement events. - Organize and facilitate planning meetings to determine event
objectives and expected outcomes and develop event project plans,
concepts, themes, and strategies with the appropriate advancement
partners. - Create and deliver reporting for each event to assess progress
to goals and measures of success. - Manage the annual budget for all alumni or donor events. Draft
overall budget and expense projections for approval; monitor costs
to control expenses once approved. - Create an event planning timeline for all production and
administrative tasks and oversee its implementation and use. - Create and manage event registration (cvent) and invitation
process (print and online), ensuring a seamless user
experience. - Ensure the efficient tracking of event participation in the TED
(CRM system). - Ensure all events and activities reflect a consistent image of
UIC and deliver a high-level and quality constituent
experience. - Ensure all events are accessible and inclusive, benefitting all
participants. - Build and cultivate effective working relationships with
external vendors and cross-campus partners. - Oversee all vendor services and negotiate costs for décor,
lighting, florals, transportation, security, etc. Identify
operational efficiencies and ways to streamline expenses. - Manage a team of professionals that strategically coordinates
efforts to execute excellent events. - Establish an annual calendar of all advancement events.
- Represents UIC, OVCA and the Alumni Association at meetings and
other University functions as necessary. - Utilize the constituent database to track event engagement and
define measurements for success. - Perform other related duties as assigned.
Minimum Qualifications Required:
- Bachelor’s degree in Hospitality, Marketing, Public Relations,
Communications, Business Administration, Student Affairs, or a
closely related field. - One (1) year (12 months) of professional work experience in
Events Planning, Conference Management, Public Relations,
Communications, Marketing, or any other related field. - Demonstrated experience in professional event planning
Preferred Qualifications:
- Management experience.
- Exhibited ability to interact comfortably, tactfully, and
effectively with alumni, donors, volunteers, internal
constituencies and to work with high-profile individuals. - Experience in project management and management of complex
teams. - Excellent oral and written communication and interpersonal
relations skills. - Demonstrated ability to work collaboratively in a dynamic
team-based organization.
