Anticipated Pay Range $26.44
Pay Range Information Chapman University is required to provide a reasonable estimate of the compensation range for this position. This range takes into account a variety of factors that are considered in making compensation decisions, including experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. Salary offers are determined based on the final candidate’s qualifications and experience, as well as internal equity and other internal factors. The anticipated pay range is not a promise of a particular wage.

Position Summary Information

Job Description Summary Working under the Operation Administrator’s supervision, oversee and administer the Smith Institute events, social media outlets, and website. Represent the Smith Institute in fairs, conferences, and external events. Collect and organize information for activity reports. Perform other duties as assigned.
Responsibilities Oversee and Administer Events

  • Oversee the scheduling and production of all Smith Institute events (i.e. lectures, receptions, workshops, conferences, summer programs), and take responsibility for ensuring they run smoothly, effectively and in a financial responsible manner, coordinating with other departmental heads as necessary.
  • Manage all assigned meeting/event details including set-up, A/V needs, guest and attendee logistics, security, sustainability, and health protocols;
  • Negotiate and contract with campus constituents and outside vendors for a variety of goods, services, space, equipment, etc.
  • Operate as point person for potential Humanomics students regarding program inquiries and admissions;
  • Attend career fair, information session, and outreach events to disseminate information on the SI, its major and minor;
  • Represent the Smith Institute, its major and minor, in other departmental forums that affect Smith Institute in the areas of admissions, college fairs, information session, and outreach events;
  • Develop the scope of events, creating project timelines, producing communications materials, event briefings, and timely reports;
  • Update Smith Institute shared calendar with meetings, events, & Affiliate visitor dates;
  • Coordinate and manage department and committee meetings that include agenda preparation, briefing materials, meeting materials, minutes, speakers, committee reports, capturing and tracking RSVPs, and venue selection;
  • Provide summaries of Institute activities for reports;
  • Track and record spending on activities.
  • Offer general support for the Smith Institute

Marketing and Web services

  • Collaborate with Strategic Marketing & Communications to develop marketing plan for Humanomics program and oversee development of marketing materials;
  • Provide updates for course catalog, website, and promotional brochures;
  • Administer social media accounts for the Institute; Collaborate with Chapman Social Media services;
  • Generate content for social media and website by capturing faculty and students academic accomplishments;
  • Update Chapman website and faculty pages as needed.
Required Qualifications
  • Bachelor’s degree or equivalent experience; Excellent written & oral communications skills with extreme attention to detail;
  • Proven ability to handle simultaneous deadlines, communicate effectively and maintain a positive composure;
  • Strong interpersonal skills to interact with diverse constituents at all levels;
  • Proven ability to multi-task in a fast-paced environment; Ability to show self-initiative;
  • Ability to work as a team member;
  • Ability to demonstrate tact and diplomacy, maintain confidentiality and follow FERPA regulations;
  • Experience in event management; Strong knowledge of Microsoft Office Suite.
