Job Purpose

Examination Invigilators facilitate the examination process; ensuring exams are carried out in accordance with university regulations and Registry procedures. You will monitor students during exams and record breaches of university regulations. Examination Invigilators work as a team, supervised by the Registry Exam Team.

Invigilators facilitate the exam process across all university campuses and external venues e.g., SEC and Kelvin Hall. You may also be required to cover other Registry duties as necessary.

Main Duties and Responsibilities

Post holder duties include, but are not limited to the following:

1. Ensure exam procedures and processes are implemented under the direction of the exams team

2. Ensure university regulations and Registry instructions are observed

3. Carry out all duties relating to invigilation in various venues under the direction of the exams team

4. Assist facilities staff to distribute exam materials

5. Assist students entering exam venues, direct them to seats, advise they are under exam conditions and read out exam announcements

6. Actively monitor and patrol venues ranging from 1 student to 650+ students, during shifts of 2 – 7 hours

7. Deal effectively and efficiently with issues during examinations relating to; students, exam documentation, venues etc.

8. Escort students from venues during exams as required (toilet breaks, illness etc.) ensuring students are supervised while outside the venue

9. Identify and deal with suspected breaches of university regulations, confiscate prohibited material and accurately complete incident reports

10. Collect, and tally examination material at the end of each exam, ensuring paperwork is readied for collection

11. Maintain the integrity of all exam documentation, storing confidential documents (e.g., disability information), securely and out of sight

12. Manage the departure of students from venues after exams, ensuring they leave in an orderly and quiet manner

13. Accurately complete all Registry and Student Conduct paperwork at each exam and return securely to the Exams Team

14. Carry out front and back-office administration as required

15. Maintain communication with Registry out-with exam diets, adhere to all deadlines, regularly check University email, complete Moodle submission as required etc.

Knowledge, Qualifications, Skills, and Experience

Knowledge/Qualifications

Essential

A1 Either: Prior work experience with the ability to demonstrate the competencies required to undertake the duties associated with this level of post. Or: Minimum Scottish Credit and Qualification Framework level 3 in English and Mathematics (National 3) or equivalent.

A2 A confident, professional approach to work, with an emphasis on; flexibility, reliability, and attention to detail.

Desirable

B1 An understanding of the key issues involved in exam invigilation.

B2 Awareness of disability issues and people who require additional support.

Skills

Essential

C1 Ability to demonstrate IT skills; specifically Microsoft Office packages, Outlook and accessing online systems.

C2 Excellent communication and reporting skills, with the ability to deliver instructions and information clearly, both verbally and in writing.

C3 Ability to use initiative, reacting calmly to unexpected or stressful situations, and resolving issues within the framework of university regulations and Registry processes.

C4 Ability to demonstrate excellent observational skills and to remain focussed for long periods while patrolling large exam venues for 1-3 hours.

C5 Ability to follow regulations, work effectively within defined procedures and to strict timeframes.

C6 Ability to demonstrate organisational skills, especially when faced with competing priorities.

Experience

Essential

E1 Prior work experience with the ability to demonstrate the competencies required to undertake duties associated with the role of exam invigilator.

E2 Experience of working both independently and as part of a team.

E3 Experience of co-ordinating large groups of people.

E4 Experience of dealing with large volumes of paperwork.

Desirable

F1 Experience of exam invigilation and/or experience of working in an educational environment.

F2 Administrative or secretarial experience.

Terms and Conditions

Salary will be Grade 2, £21,900 per annum, pro-rated to the number of hours assigned to, and worked by, you.

This post is part-time and open ended, You are guaranteed a minimum of 100 hours per year (Jan-Dec). Shifts will be for a minimum of 1 hour per week but the average shift will be between 2-7 hours.

Invigilators must be fully available for work during all exam diets: December (approx.11 days), April/May (approx. 25 days) and August (approx. 15 days).
