About the role
As part of the Office of the CEO, the position supports the Manager, Office of the CEO with a range of administrative duties including Executive diary support, travel scheduling, meeting logistics and expense management for the Executive Team. The position engages with a range of WWF internal and external stakeholders to coordinate information, meetings and events.
Key Accountabilities
- Provides administrative support to the Executive team including:
- some diary support (primarily CEO and CXO overflow);
- senior level and external meeting coordination and logistics such as room bookings and catering;
- travel and accommodation bookings;
- monthly expenses;
- general administrative functions as required such as coordinating all staff communications, filing and document management.
- Coordinates adhoc and special events.
- Supports the Manager, Office of the CEO in the coordination of the Board, Governor, committee and advisory groups including:
- Managing meeting logistics;
- Organising travel and accommodation for Board and/or field trips;
- General administration such as coordinating bulk communications, records management and data entry, document management and filing.
- Maintains knowledge of WWF Network operations, processes and people in order to facilitate aligned executive support.
Skills, knowledge and experience
- Demonstrated skills and experience in office administration and/or Executive or team support functions.
- Demonstrated attention to detail.
- Excellent time management and organisational skills.
- A flexible attitude and ability to re-prioritise where the need is greatest.
- Well-developed interpersonal, verbal and written communication skills.
- Demonstrated strong customer service ethic and experience delivering high quality results.
- A track record of excellent judgement and working with discretion/confidentiality.
- An ability to work both autonomously and as a member of a high performing team.
- Demonstrated IT skills, including intermediate level competency in Microsoft Office.
