About the role

Reporting to the Chief Executive Officer (CEO), this position will provide a professional level of administrative and strategic support to the CEO and other members of the Executive Leadership Team. This role will be key in ensuring that the CEO, Executive Director – Homelessness Solutions & Impact (ED-HSI) and Executive Director – Housing Solutions (ED-HS) are well prepared and coordinated on events they are attending, answer all correspondence in a timely manner, and are well briefed on important matters requiring their time and attention.

What you’ll be doing

  • Acting as the first point of contact for the Chief Executive Officer (CEO), Executive Director – Housing Solutions (ED-HS) & Executive Director – Homelessness Solutions & Impact (ED – HSI).
  • Effective coordination and management of Executive schedules including telephone calls, electronic diary management, email correspondence and organisation of meetings and relevant papers.
  • Ensuring the CEO, ED-HS and ED-HSI are fully prepared for all upcoming commitments including necessary briefings, papers, travel arrangements, etc.
  • Effectively coordinating key stakeholder and executive meetings and other internal events facilitated by the Executive Leadership Team (may include preparing agendas, distributing materials, chairing the meeting and/or taking minutes, depending on the meeting).
  • On request of the Executive, creating and maintain documents, reports, and presentations.
  • Contributing to internal quality assurance processes, including identifying, developing, implementing, and evaluating quality improvement activities.
  • Running CQI projects within the ELT to ensure ELT processes are efficient and effective.

What we’re looking for

  • Qualification in Business or Business Administration (desirable).
  • Proven experience in executive support or executive assistant roles.
  • Excellent organisational and time management skills.
  • Strong written and verbal communication skills and ability to compose and present correspondence of a non-specialist nature.
  • Ability to adapt to changing priorities and work well under pressure.
  • Capacity to work independently with minimal direction and collaboratively in a team environment.
